Summary:
This position is for 15-20 hours per week, 8:00 a.m. - 5:00 p.m. on Friday and Saturday only.
The Receptionist will play a critical role in providing exceptional customer service and administrative support to all patients and visitors. Under supervision of owner, the employee will coordinate all clinic communication between patients and providers, to the front office manager. They are responsible for daily phone and electronic clinic communication, patient scheduling and communication, and delegated clinic daily operational duties.
Responsibilities
- Front Office Communication Management
- Greet and welcome guests in a professional and courteous manner.
- Answer all incoming and outgoing communication including but not limited to phone calls, emails, texts, facts, and inquiries promptly and courteously, providing information and assistance as needed.
- Direct all appropriate communication to appropriate staff.
- Address patient concerns and inquiries, escalating issues to front office manager or appropriate leadership as necessary.
- Coordinate Patient Appointments:
- Assist patients with appointment check-in and check-out procedures. Ensure patients are rebooked.
- Manage appointments, scheduling, and cancellations efficiently using clinical software systems.
- Communicate effectively with patients regarding appointment reminders, follow-up care instructions and clinic policies.
- Revenue Cycle Support:
- Maintain patient records accurately and confidentially, ensuring compliance with HIPAA regulations.
- Verify correct new patient intake paperwork and PHI. Collect co-payments or payment for services rendered.
- Relay appropriate insurance information to front office manager.
- Clinic Operational Duties:
- Saturday cleaning of clinic including:
- Full vacuum and floor cleaning in clinic
- Wipe down all surfaces with disinfectant including all gym equipment
- Clean on mirrors
- Organize common used spaces in clinic
- Refill all soap, paper towels and toliet paper
- Refill all room disinfencant spray bottles
- Report low inventory of supplies to front office manager
- Participate in staff meeting, trainings, and continuing education opportunities as required.
- Perform other duties as assigned.
Qualifications
- Highschool diploma or equivalent.
- Previous experience in a medical office or healthcare setting preferred
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal abilities, with a customer service-oriented mindset.
- Proficiency in using computer software and electronic medical records system.
