We are seeking a highly organized and tech-savvy Office Assistant/Admin – Document Control to manage and maintain our company’s documents, ensuring they are accurate, up to date, and compliant. This role is primarily remote, but the candidate must be available to work in-office in Burlington once a week.

The ideal candidate is detail-oriented, proactive, and skilled in digital file management. They will play a key role in keeping our document control system structured and efficient, supporting various departments in maintaining compliance and organization.

Key Responsibilities:

  • Maintain and organize company documents, records, and files in a structured server system.
  • Ensure version control, compliance, and accuracy of all documentation.
  • Regularly update and audit files to ensure proper naming conventions and storage.
  • Assist with document retrieval for internal teams as needed.
  • Support administrative functions such as data entry, reporting, and correspondence.
  • Work collaboratively with departments to ensure document accuracy and compliance.
  • Implement best practices for file organization, security, and retention.
  • Attend weekly in-office meetings in Burlington to coordinate tasks and updates.

Qualifications & Skills:

  • Highly organized with strong attention to detail.
  • Tech-savvy, with experience using document management systems and cloud storage.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and other relevant software.
  • Self-motivated and able to work independently in a remote setting.
  • Strong communication skills to collaborate effectively with different teams.
  • Experience in document control, records management, or administrative support is preferred.
