HVAC Service Coordinator / Dispatcher
Ideal Mechanical is hiring a HVAC Service Dispatcher tomanage and schedule HVAC service work for our residential, commercial, andindustrial customers. The HVAC Service Dispatcher will report to the HVACservice operations manager. This position will require the candidate todispatch / coordinate incoming emergency service work with the field servicetechnicians while maintaining coverage for previously scheduled service workand jobs daily. Work with customers to address their needs and concerns in atimely fashion. Assist filed technicians with processes and workflows. Conduct business in accordance with PPC and Pieper Electric, Inc. missionand vision statements.
Responsibilities :
Will serve as the initial point of contact for our customers and technicians
Answer incoming calls and assist clients with scheduling
Create work orders with accurate descriptions and data entry
Assign service work to the field service technicians
Know the service technician's skill sets and assign the appropriate technician based on the complexity of the service request.
Manage daily scheduled work and keep the dispatch scheduling board updated so that the technicians don't have any downtime in between service calls and jobs.
Track parts that are on backorder and schedule return visits once the parts have been expedited
Stay-in constant communication with our field service technicians for statues on service work and jobs
Close-out work orders / projects when completed
Work with the service coordinator to schedule preventive maintenance contract agreements
Manage the technicians on-call / after hours emergency service schedules
Track quote requests and assign quote requests to the appropriate project manager
Maintain the field technicians PTO schedule
Help train new technicians with our software management system.
Manage and maintain workflow processes with the HVAC service team.
Other duties as assigned
Qualifications :
High school diploma required
Higher education in the Accounting field preferred
3-5 years billing, administrative, and / orbookkeeping experience preferred especially within the electrical constructionfield
Positive safety attitude and personal integrity - both are non-negotiable
Proficient in Microsoft Office and advanced typing skills for data entry
Strong communication skills, both verbal and written
Detail-oriented with a high capacity for multitasking
Ability to prioritize and organize work to ensure follow-through
Strong desire to actively contribute to a team environment
