Dynamic Multifamily Community Manager: Pier Rock is looking for a property manager that is tired of working for the big bureaucratic management company. Join a new and dynamic management company formed to manage one of the largest portfolio's in the Melbourne area (related party). Have an impact on the processes and culture of your community and team. Compensation package based on experience. This property is currently undergoing a renovation and lease up plan.

Description

Community Manager is a dynamic and organized individual responsible for overseeing the daily operations, financial performance, and overall success of a residential multifamily property. You will manage tenant relations, supervise property staff, ensure property maintenance, and achieve occupancy, unit turnover, income, and expense budgeted goals.

The parent company, Pier Rock Properties, is one of the largest property owners in the Melbourne area and has recently transitioned to self-management. We are seeking to build a unique team with a proactive, non-bureaucratic culture. Direct weekly involvement with the company owners is a key aspect of this role.

Key Responsibilities:
1. Property Operations Management
  • Oversee daily property operations to ensure efficiency and compliance with company standards.
  • Implement policies and procedures to maintain a safe, clean, and attractive property.
  • Work closely with maintenance staff to ensure timely unit maintenance and quick turnover for move-in dates.
  • Conduct regular property inspections to identify maintenance needs and ensure safety and aesthetics compliance.
  • Manage vendor contracts for landscaping, cleaning, security, and other services.
  • Maintain the office, amenities, and work area in a clean and orderly manner.
  • Monitor and analyze property metrics to ensure clear and concise reporting.

2. Financial Management:
  • Develop and manage the property's annual operating budget.
  • Monitor and control expenses to meet or exceed financial goals.
  • Oversee rent collection, delinquency tracking, and implement collection procedures.
  • Review and approve invoices, ensuring timely payment to vendors.
  • Review monthly financial statements and budget variances for ownership reporting.
  • Ensure accurate and organized maintenance of resident, prospect, applicant, and move-out files.

3. Leasing and Occupancy Management:
  • Achieve and maintain target occupancy rates through effective leasing strategies.
  • Supervise leasing staff to ensure prompt follow-up on leads and active marketing of units.
  • Oversee application, approval, and move-in processes for prospective tenants.
  • Monitor lease expirations and renewals for tenant retention.
  • Implement resident retention programs and conduct market analysis for competitive rental rates.
  • Train and motivate leasing team to exceed goals and achieve occupancy expectations.
  • Ensure strong online presence and accurate advertising of available inventory

4. Resident Relations:
  • Serve as the main point of contact for residents, addressing concerns and maintenance requests promptly.
  • Foster positive resident relations to promote satisfaction and retention.
  • Organize resident events and activities to build a sense of community.
  • Enforce lease terms, rules, and policies.
  • Handle tenant disputes and coordinate evictions as needed.

5. Team Leadership and Supervision:
  • Hire, train, and supervise on-site staff, including leasing agents and maintenance personnel.
  • Assign tasks, monitor performance, and conduct regular evaluations.
  • Foster a team environment focused on achieving property goals and delivering excellent service.
  • Ensure staff understanding and compliance with Fair Housing guidelines.

6. Maintenance and Facilities Management:
  • Coordinate with maintenance team for timely resolution of work orders and preventive maintenance.
  • Ensure vacant units are move-in ready according to company standards.
  • Manage capital improvement projects and renovations as necessary.
  • Monitor property assets' condition and maintenance needs.

7. Compliance and Risk Management:
  • Ensure compliance with local, state, and federal housing laws, including Fair Housing regulations.
  • Maintain property documentation and adhere to company policies and legal standards.

8. Other Responsibilities:
  • Regularly walk the community to maintain curb appeal.
  • Prepare and file evictions in compliance with laws and company policies.
  • Respond to and handle community emergencies with staff and residents.
  • Submit required daily reports and follow monthly manager calendar and month-end processes.

Skills and Qualifications:
  • High school diploma or GED required; Bachelor's degree in Business, Real Estate, or related field preferred.
  • 2-5 years of property management experience, preferably in multifamily housing.
  • Budget preparation, leasing, and staff supervision experience.
  • Strong leadership and team management abilities.
  • Excellent communication and interpersonal skills.
  • Financial acumen and proficiency in property management software and Microsoft Office.
  • Problem-solving skills and knowledge of Fair Housing Laws.
  • Physical ability to walk the property and oversee maintenance projects.
  • Flexibility for weekends, emergencies, and tenant move-ins/move-outs.

Key Performance Indicators:
  • Occupancy rate and tenant retention percentage.
  • Rent collection efficiency and delinquency rates.
  • Unit turnover time and cost.
  • Maintenance request response and completion time.
  • Budget adherence and expense control.
  • Resident satisfaction ratings.

Work Schedule:
  • Full-time with flexibility for weekends, emergencies, and tenant move-ins/move-outs.

Salary

$45,000 - $55,000 per year
