Job Summary:
We are seeking a self-motivated, highly organized and detail-oriented Administrative Coordinator to join a dynamic team of professionals. The ideal candidate will provide administrative support and coordinate various tasks to ensure the smooth operation of our office which serves as the nerve-center for all of our operations. We are a small, but mighty team!
Duties:
- Provide world-class customer support to our clients and Realtor partners as the first point of contact/first impression.
- Develop a comprehensive understanding of all products and services offered to our clients.
- Guide clients and agents on which products and services will best suit their individual needs through direct and thoughtful communication via telephone, text and email.
- Organize and schedule home inspection appointments based on urgency, availability and location
- Write and distribute email, correspondence memos, letters, and forms in accordance with company policies and procedures.
- Assist in the preparation of regularly scheduled reports for managers and executive staff to include average job size, upgrade percentages and sales volume.
- Ensure meeting spaces and equipment are prepared for bi-weekly staff meetings; take detailed notes regarding items of importance and any receivables.
- Maintain both electronic and physical filing system for client records and inspection records. Maintain referral partners as well as client contact information and update as needed.
- Ensure the employee breakroom remains fully stocked with snack and drink items.
- Ensure the office remains neat and well organized.
- Order office supplies as needed and research new technology and suppliers to improve efficiency and cost savings.
- Provide general support to office visitors when necessary.
- Ensure mail items are handled in a timely manner and deliveries are received then distributed properly.
- Remain flexible and prepared to help in other departments during period of down-time.
Qualifications:
- Proven experience in administrative roles with excellent organizational skills
- Experience managing accounts payable/receivable.
- Proven proficiency in file management and record keeping (digital and physical)
- Knowledge of Microsoft Office Suite of Tools is required.
- Ability to multitask, prioritize work, and meet deadlines effectively
- Expert communication skills, both written and verbal
- Deomstrable knowledge of email ettiquette is a must.
- Experience in real estate administrative tasks is advantageous and will be considered during initial pay negotiations.
- Experience in sales (retail, insurance, services, etc.) is highly preferred, but not required. This will also be considered in pay negotiations.

Pay: $20.00 - $25.00 per hour
