Position: Grants and Special Programs Coordinator
Location: Pine City, MN
Union: AFSCME Courthouse Unit
FLSA status: Non-Exempt, Full-Time (37.5 hours per week)
Essential Functions
- Researches and identifies potential grants
- Attends information sessions for upcoming grants/aids or received grants/aids to ensure a fiscal understanding of them.
- Prepares and/or assists with grant application, and budget development to ensure alignment with the financial system.
- Ensures accurate and timely applications and reports are completed.
- Develops chart of accounts for grants and special programs including the mapping for the financial statements with oversight of Chief Deputy Auditor-Treasurer or Fiscal Supervisor.
- Provides financial information for grant/aid reporting or completes the financial section of grant/aid reporting.
- Reviews grant/aid reports to ensure they reconcile with the financial system.
- Monitors expenditures/reimbursements for grants/aids to ensure they are coded correctly, reconciles expenditures that are reimbursed, and identifies budget adjustments.
- Alerts department when mid-grant budget adjustments are needed.
- Prepare and submit billing claims in different programs for reimbursement including MA, income maintenance insurance, social services, public health and SSIS via batch resubmission or manual entry.

Thorough knowledge of County and department policies, practices and procedures; general knowledge of Minnesota statutes, rules and regulations; general knowledge of software manuals, DHS website, DHS Technical & Procedural Bulletins, SSIS Technical & Procedural Updates and Mentor information; thorough knowledge Medical Assistance Remittance Advice; general knowledge of Board Approval Reports and Warrant Registers; general knowledge of standard office equipment including postage meter and scanner; thorough knowledge of standard office computer software; thorough knowledge State programs (MAXIS, MMIS, PRISM and MEC2); general knowledge of IFS (Integrated Financial System), SSIS (Social Service Information System), MN ITS (Minnesota Information Transfer System), Nightingale Notes, check printer and scanner, general knowledge of DHS-SIR; ability to make complex arithmetic calculations.
