Records Specialist 1
Classification: Records Specialist 1, C13
Location: 509 East Avenue South, Clearwater, FL 33756
Schedule: Monday - Friday, 8am - 5pm
This is specialized clerical work which requires preparing files for imaging, document scanning/linking, general clerical and warehouse work, data entry, processing, research, and filing of a variety of legal documents performed in an automated work environment. An employee in this class reviews and processes a wide variety of official records and/or legal documents in accordance with Florida Statutes and other pertinent legal authorities. Decisions are made within established guidelines and procedures. The position reports to a supervisor or designee.

Essential Job Functions
- Prepare files for imaging, i.e. remove staples, repairs torn pages, removes file clasps.
- Retrieves files for customer viewing. Must walk several hundred steps daily, climb step stool/ladder when required, lift boxes up to 50 pounds.
- Makes copies and certify, if required (documents must be removed from file folder and replaced).
- Answers phones, writes down information if required.
- Provides information to customers and other departments. Accesses computer when required.
- Scans documents as required, including indexing/document linking responsibility.
- Provides assistance in warehouse area for storage, retrieval, and moving of files.
- Projects may require sustained hauling of boxed files by hand truck, and sustained periods of moving boxes. Boxed files are sometimes placed or pulled from upper shelving.
- Performs related work as assigned or required.
Position Specific Requirements
- 1-year experience in clerical work which may include 1-year customer service experience; or
- An equivalent combination of education, training, and/or experience.
- Assignment to work a variety of work schedules including compulsory work periods in special emergency, and/or disaster situations.
Highly Desirable
- Excellent customer service skills.
- Basic knowledge of the Florida Statutes, Rules of Court, and regulations pertinent to the area of assignment.
- Ability to follow instructions in accordance with laws, regulations, and procedures.

- Knowledge of legal terminology, grammar, spelling, and math.
- Knowledge of recordkeeping practices and procedures.
- Knowledge of automated office equipment, practices, and procedures.

- Ability to provide information correctly and concisely, both orally and in writing.
- Ability to type with reasonable speed and accuracy.
Physical/Mental Demands
This work requires exerting up to 40 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Additionally, the following physical abilities are required:
- Finger dexterity: Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
- Visual ability: Sufficient to effectively operate office equipment including copier, computer, etc.; and to read and write reports, correspondence, instructions, etc.
- Hearing ability: Sufficient to hold a conversation with other individuals both in person and over a telephone; and to hear recording on transcription device.
- Speaking ability: Sufficient to communicate effectively with other individuals in person and over a telephone.
- Mental acuity: Ability to make rational decisions through sound logic and deductive processes.
- Talking: Expressing or exchanging ideas by means of the spoken word including those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
- Repetitive motion: Substantial movements (motions) of the wrist, hands, and/or fingers.
