Job Summary :
The AP / AR Specialist will play a critical role in managing the companys financial transactions, ensuring timely payments, and maintaining strong relationships with vendors and customers. This position requires strong attention to detail, problem-solving skills, and the ability to work in a fast-paced environment.
Key Responsibilities of the AP / AR Specialist :
Process vendor invoices, ensuring accuracy and proper authorization.
Match purchase orders, receipts, and invoices for correct billing.
Monitor and manage payment schedules, ensuring timely payments and avoiding late fees.
Maintain vendor records and resolve invoice discrepancies.
Process expense reports and corporate credit card reconciliations.
Generate and issue customer invoices based on shipments and services rendered.
Track and follow up on outstanding receivables, ensuring timely collections.
Reconcile customer accounts and resolve discrepancies or payment issues.
Process incoming payments via check, ACH, or wire transfer.
Prepare and send customer account statements.
Assist with month-end closing, account reconciliations, and financial reporting.
Maintain accurate records and documentation for audit purposes.
Work closely with internal departments, vendors, and customers to address financial inquiries.
Ensure compliance with company policies and industry regulations.
Qualifications of the AP / AR Specialist :
Associates or Bachelors degree in Accounting, Finance, or a related field (preferred but not required).
2 years of experience in accounts payable and / or receivable.
Proficiency in accounting software (QuickBooks, NetSuite, SAP, or similar) and Microsoft Excel.
Excellent attention to detail, organizational, and problem-solving skills.
