Job Summary
We are seeking a highly organized and proactive Assistant to support our team in various administrative and clerical tasks. The ideal candidate will possess strong skills in calendar management, event planning, and office management, ensuring smooth operations within the office environment. This role is essential for maintaining efficiency and providing high-quality support to our staff.
Duties
- Manage and maintain Outlook Calendar for scheduling appointments and meetings.
- Transcribe notes from meetings and prepare documents as needed.
- Grab documents from truck drivers, keep inventory, and receive materials.
- Ability to stand on your feet for 12 hours a day.
- Good Computer knowledge.
- Organize files and maintain an efficient filing system for easy access to information.
- Assist in planning and coordinating events, including logistics and communication with participants.
- Proofread documents for accuracy and clarity before distribution.
- Provide general administrative support, including answering phones, responding to emails, and managing correspondence.
- Collaborate with team members to ensure all office operations run smoothly.
- Perform other clerical duties as assigned to support the overall functioning of the office.
Qualifications
- Proven experience in an administrative or clerical role is preferred.
- Strong skills in calendar management and proficiency with Outlook Calendar.
- Excellent proofreading abilities with attention to detail.
- Effective organizational skills with the ability to manage multiple tasks simultaneously.
- Familiarity with office management practices and procedures.
- Strong communication skills, both written and verbal.
- Ability to work independently as well as part of a team.
- Proficient in using standard office software applications.
