Job Title: Accounts Administrator
Location: Hybrid to Chicago Warehouse, 317 N Francisco Unit 2 Chicago IL 60612 (1-3 days in office per week)

Overview:
Pioneer Aero Supply, a leading supplier in the aerospace industry, is seeking an experienced, detail-oriented and proactive Accounts Administrator to join our dynamic finance team. In this role, you will administer key aspects of our accounts function. The ideal candidate will be strong in Accounts Receivable (AR) & Collections and well-versed in process improvements, automation, and efficiency optimization. International experience is a plus.
Key Responsibilities:
- Credit Control & Collections:
- Ensure accounts in Salesforce (Avsight) are properly set up for the automation to issue invoices to the correct parties.
- Monitor accounts receivable to ensure timely payments.
- Follow up on overdue payments, issue late fees and monthly statements, maintain accurate credit records, and manage customer credit limits.
- Assess customer creditworthiness and escalate issues when necessary.
- Implement effective AR & Collections strategies to optimize cash flow.
- Accounts Administration:
- Process vendor invoices, purchase orders, and other financial documents accurately.
- AP and AR tasks via Avsight and Quickbooks.
- Resolve banking fees.
- Complete contra reviews for vendors who are also customers.
- Perform regular account reconciliations and assist with month-end and year-end closing procedures.
- Financial Reporting & Analysis:
- Support the preparation of financial reports and budgets by providing accurate data and analysis.
- Identify discrepancies and collaborate with internal teams to resolve financial issues.
- Automation and Efficiency:
- Leverage accounting software and automation tools to streamline processes and enhance operational efficiency.
- Identify and implement process improvements to optimize finance operations.
- General Administration:
- Provide administrative support to the finance department, including data entry and record management.
- Liaise with customers, suppliers, and internal stakeholders to resolve billing and payment queries promptly.
Qualifications:
- A diploma or degree in Accounting, Finance, or a related field.
- Experience using Salesforce.
- Proven experience in credit control, accounts administration, or a similar finance role, preferably within the aerospace or manufacturing sectors.
- Demonstrable expertise in AR & Collections with a successful track record of effective debt recovery.
- Proficiency with automation tools and a focus on improving process efficiency.
- International experience is considered a plus.
- Strong numerical and analytical skills with exceptional attention to detail.
- Proficiency in accounting software, Google Workspace (Especially Sheets) and QuickBooks.
- Excellent communication and interpersonal skills, with the ability to interact professionally with both internal and external stakeholders.
