The PSI Project Controls Specialist provides services related to planning, scheduling, forecasting and tracking PSI Company projects. Services include preparing schedules and forecasts, monitoring status, managing change orders, tracking costs and providing timely feedback throughout the life cycle of the project.
Essential Functions :
- Gathers, analyzes, translates and delivers information in clear, concise and meaningful formats based on specific project requirements and according to established project control standards and procedures.
- Plan all internal project kick-off and review meetings when new projects are awarded to determine the Project Control Plan including the schedule, invoicing requirements and reporting requirements. Prepare the project information sheet, project checklist and set up the project QMS folders.
- Assembles and compiles schedules and cost data and inputs into the project control worksheet and provides output to the project team.
- Manage the Project Forecast Tool to track project status : Active Awarded, Probable Additional, Bids, and Pipeline stages. Attend Project Status Meetings to stay abreast of any changes to project scope and update appropriate reports as needed.
- Facilitate / host weekly Project Controls Meeting to review open action items.
- Generate Change Order Requests as required by Project Controls Manager and / or Salesmen. Manage Change Order Tracking Sheet following up on COR’s regularly and communicating status with Project team. Once submitted, file the Change Order Request along with supporting documentation is filed in the appropriate QMS folder.
- Manage and maintain Project Cost Report. For T&M projects, this report tracks billing and flags projects at 80% (or value designated in contract) in order to trigger notification to customer and increase contract value. For milestone-based projects, tracking will entail when projects reach allotted contract resources.
- Prepare and manage the Invoice Tracking Report. Follow up on invoice submissions in order to reduce payment delays and issues. Work with Engineering & Operations on timely invoice submissions.
- Promotes the Project Management Office (PMO) concept and communicates and establishes the Project Controls function within the Project Management Office.
- Support Sales Team in receiving, reviewing and submitting comprehensive Request for Quote (RFQ) Packages.
- Track sales performance, status proposals, and progress towards targets to update Executive management.
- Register all Company Clients and complete Client Pre-Qualifications.
- Update and enhance sales proposals, budgets, and presentations as required.
- Review billing timesheets and expense reporting as required.
- Other duties as assigned.
