What are the responsibilities and job description for the Administration Assistant position at Pipe Spy Inc.?
Assist the Office Manager to provide the central communications point for incoming calls and emails from customers, vendors and solicitations. The Office Assistant will support the Office Manager to log all phone calls, screen leads and facilitate the information flow between field personnel, customers, government agencies and company vendors.
Assist Office Manager, Sales and Production staff to perform document workflow tasks associated with a PIPE SPY engagement. Acquire permits as directed. Assemble & scan pre/post- production documents for archiving in a timely manner; other project document tasks may be assigned.
Assist the Office Manager in scheduling appointments for the Sales team members. Communicate with homeowners, city officials and others regarding production and inspection schedules, as directed by the Office Manager.
Assist the Office Manager to process documents related to permit and compliance applications and other financial transactions, including routing payment documentation to the proper person for accounting, and scanning/filing accounting records in the appropriate location.
Provide general administrative support as required. This may include ordering supplies, maintaining office equipment, receiving/distributing mail, prepare and maintain electronic and hard copy files, obtaining staff meeting refreshments, random and/or special projects as assigned, and other Company functions.
Light cleaning of workspace and office during downtime.
