Position Overview:
The Aesthetic Surgical Coordinator and Surgical Liaison plays a critical role in ensuring the smooth operation of surgical procedures and patient care processes. This position involves coordinating all aspects of patient care, from initial consultation through post-operative follow-up.

We pride ourselves on transforming lives and enhancing confidence through the art of plastic and cosmetic surgery and treatments. Our facility has been a hub of innovation and excellence in the cosmetic field and is looking for new talented individuals to move forward in the modernization of our practice. Our office provides services on two penthouse floors of the 3109 Forbes Ave, Forbes Allies Building within the Oakland area.

- Coordinate with surgeons, anesthesiologists, and other medical staff to ensure seamless scheduling and preparation for surgeries. Monitor and manage surgical schedules to avoid conflicts and ensure efficient use of resources. Ensure appropriate and high quality staffing through the strategic placement of office staff
- Coordinate cases and communicate with surgery center personnel. Prepare and forward all necessary admission reservations/requisitions, including demographics and insurance information to surgery centers
- Provide compassionate and attentive care to patients, addressing their concerns and questions throughout their surgical journey. Assist patients with paperwork, insurance verification, and billing inquiries. Ensure all billing and insurance information is current and accurate
- Assist patients in obtaining pre-screening exam and diagnostic testing. Verify that pre and postoperative surgical packets are signed and read by the patient.
- Follow up with patients post-surgery to obtain feedback, reviews, and additional referrals, and/or address any issues or concerns.
- Coordinate physician educational meetings and travel and schedules physicians accordingly. Contact and coordinate weekly schedules with rotating chief residents from the University of Pittsburgh Plastic Surgery Department. Coordinate sales representative visits. Coordinate aesthetic fellow schedules and act as fellowship coordinator.
- Coordinate scheduling of clinical research studies or clinical trials, including dates of patient screening, enrollment and data collection (in combination with research coordinator)
- Monitors clinical productivity of the practice and develops and implements process improvement programs for clinical operations to include patient access, patient flow, charge entry, etc. Work to troubleshoot procedural and operations issues including management of treatment pathways.
- Serve as the primary contact point for patients interested in aesthetic procedures, answering initial leads via phone, email, text, and customer relations management software to maximize patient surgical conversions following consultation.
- Schedule and coordinate pre-operative consultations, operative dates, and follow-up appointments.
- Provide medical records releases and sends record to patients or referring physician offices.
