We are currently seeking a motivated and organized individual to join our team as a Front Desk Property Management Receptionist.
Job Overview:
The Front Desk Property Management Receptionist will serve as the first point of contact for visitors, tenants, and prospective residents. This individual will play a key role in supporting the day-to-day operations of our property management office by ensuring smooth administrative functions and delivering exceptional customer service. You will be responsible for greeting visitors, answering phones, coordinating appointments, and assisting with tenant requests, all while maintaining a professional and friendly environment.
Key Responsibilities:
- Greet and welcome visitors, tenants, and prospective residents in a friendly and professional manner.
- Answer, screen, and direct phone calls to the appropriate department or personnel.
- Provide general administrative support, including managing the reception area, scheduling appointments, and maintaining records.
- Assist tenants with inquiries, complaints, and maintenance requests, ensuring timely resolution or proper escalation.
- Maintain accurate tenant files, records, and other important documentation.
- Coordinate move-ins and move-outs, including move in packet preparation and ensuring all paperwork is completed.
- Monitor security and access control, ensuring all visitors and contractors sign in and out as needed.
- Maintain a clean and organized front desk and reception area.
- Assist with marketing and leasing efforts, including showing properties to prospective tenants when necessary. *Must have own transportation*
- Perform other duties as assigned to ensure efficient office operations and excellent customer service.
Qualifications:
- High school diploma or equivalent.
- Previous experience in a customer service or receptionist role.
- Excellent communication skills, both verbal and written.
- Strong organizational skills with the ability to handle multiple tasks simultaneously.
- Ability to remain calm and professional in a fast-paced environment.
- Proficient with Microsoft Office Suite and office equipment (e.g., phones, copier).
- Knowledge of property management software is a plus (e.g., Yardi, AppFolio, Buildium).
- Ability to handle sensitive and confidential information with discretion.
- Positive attitude, professional appearance, and excellent interpersonal skills.
- Availability to work full-time, Monday through Friday, 8:30am-5:00pm, with dedication and consistency.
