Job Summary:
We are seeking a detail-oriented Receptionist/Administrative Assistant to join our team. The ideal candidate will provide exceptional customer service and administrative support by performing various operational functions. We provide on the job training.
Responsibilities:
- Greet and assist visitors in a professional manner
- Maintain a safe and sercure environment for patients and staff
- Answer and direct phone calls, messages, emails across various communication channels with parents/guardians and therapists
- Perform data entry and maintain electronic and hard copy filing systems to manage, update, track patient records throughout various facets of the service life cycle.
- Adhere to HIPAA and maintain client confidentiality
- Assist with therapist on-boarding
- Schedule appointments and manage calendars
- Assist with billing, invoicing, and basic bookkeeping tasks
- Handle incoming and outgoing mail and packages
- Coordinate office activities and operations to secure efficiency and compliance with company policies
- Assist in preparation of documents for meetings
- Maintain office supplies
- Assist in posting social media content to business page
Experience:
- Proven experience as a Receptionist/Administrative Assistant or similar role
- Knowledge of working in mental health industry is a plus
- Spanish speaking and English proficiency required
- Familiarity with basic bookkeeping tasks
- Strong typing skills and proficiency in Google Suite applications, general computer use and web navigation
- Excellent proofreading skills to ensure accuracy in documents
