What are the responsibilities and job description for the Dental Front Desk Scheduler position at Planet Dental and Orthodontics?
Position Summary:
The Front Desk/Scheduling Team Member will be responsible for confirming and scheduling patients, utilizing company policies to solve customer issues and directing calls to the managerial team when necessary.
Primary Responsibilities:
- Open and close the dental office according to office protocol.
- Answer and respond to telephone calls with professionalism.
- Maintain a professional reception area/office (organize waiting area, straighten up the facility, etc)
- Greet and welcome patients and visitors to the practice.
- Gather and accurately record dental, medical and insurance information from patients.
- Manage and update patient information.
- Verify patient insurance status daily.
- Keep all patient’s insurance information up to date.
- Take payments.
- Scan all documents into patient EMR.
- Assist patients with provider changes as needed.
- Schedule and confirm appointments for patients.
- Make outbound scheduling calls in a polite and professional manner.
- Acts as a liaison for the patients and the practices:
- Direct calls to other departments as needed.
- Use sound judgment in handling calls.
- Understanding of when to escalate calls to physicians/practice managers/executive management.
- Maintain patient confidentiality and abide by HIPAA best practices.
- Make reminder calls as requested.
- Make calls to reschedule appointments when necessary.
- Utilize and maintain company resources (Open Dental Appointment Lists) to schedule patients.
- Other duties as assigned.
Knowledge, Skills, & Experience Requirements:
- High school diploma or equivalent required.
- Bilingual in English and Spanish.
- Two years of customer service or related experience preferred.
- One year experience in call center/scheduling preferred.
- Ability to sit for extended periods of time at a workstation in a call center/ office environment.
