SUMMARY
The Development Specialist provides critical administrative, logistical, and research support to the Development team, ensuring the smooth execution of fundraising initiatives and donor engagement activities. Reporting to the Vice President of Development, this role will support departmental processes, project management, administrative oversight, event coordination, interdepartmental reviews, reporting, and donor prospect research. The Development Coordinator will be a key player in maintaining efficient workflows, assisting with development operations, and supporting the team in achieving and growing annual revenue goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative Support
- Provide day-to-day administrative support to the Vice President of Development and the broader Development team, including interdepartmental calendar management, departmental meeting scheduling, travel and expense reports, invoicing and accounts payable, development of departmental documents and presentations, and note-taking.
- Draft, edit, and review a variety of written materials, including grant proposals, reports, and published content, ensuring clarity, accuracy, and alignment with organizational goals and messaging.
- Coordinate interdepartmental processes such as proposal reviews, reporting, and document management to ensure timely and accurate deliverables.
- Assist in tracking donor-related data, entering and maintaining records in the donor database (Raiser’s Edge or equivalent CRM).
- Support the preparation of development reports and donor briefing materials for leadership and other staff as needed.
- Provide support with event coordination and facilitation. Organize and maintain electronic files, ensuring easy access to current and historical materials.
Prospect Research and Briefings
- Assist with conducting donor and prospect research (Institutional Giving and Individual Giving prospects) to support fundraising efforts, identifying opportunities for new and increased giving.
- Prepare comprehensive briefing materials for development staff and leadership ahead of donor meetings, including donor profiles to support overall departmental strategy.
- Track and report on donor prospecting activities to inform strategy and engagement.
Interdepartmental Coordination
- Serve as a liaison between the Development team and other departments to ensure smooth collaboration and effective communication.
- Assist in coordinating inter and cross-departmental projects, including timelines, deliverables, and reviews.
- Support development reporting, including gathering data and metrics from internal teams for donor stewardship and organizational updates.
- Provide team updates on funding streams and incoming revenue
- Coordinate and support invoice preparation and follow-through for various stakeholders, including event vendors and Institutional grants.
Event Coordination
- Assist in planning and executing fundraising and stewardship events, including event logistics, vendor coordination, website management, and post-event follow-up.
- Support event timelines and task lists to ensure seamless execution of events.
- Coordinate event-related communications, including invitations and guest management.
- Attend events as needed to provide on-site logistical support.
Additional Duties
- Support the creation of fundraising and stewardship materials, such as donor letters, reports, and presentations.
- Assist with annual appeals, campaigns, and other fundraising initiatives as needed.
- Assist with external communications and emails, with the PPFA system Every Action.
- Support with copy editing and writing, as assigned.
- Provide general operational support to the Development team, including special projects as assigned.
- Assist with administrative activities such as invoicing and accounts payable, travel and expenses, departmental meetings, and calendar management.
QUALIFICATIONS
- Bachelor’s degree or equivalent experience.
- At least 2 years of experience providing administrative or event support in a nonprofit development, fundraising, or equivalent role.
- Strong organizational and project management skills, with the ability to prioritize and manage multiple tasks in a fast-paced environment.
- Excellent written and verbal communication skills, with attention to detail.
- Demonstrated profesional writing experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with donor databases (Raiser’s Edge preferred) or CRM systems.
- Ability to conduct research and synthesize information into actionable materials.
- Collaborative team player with a proactive and positive attitude.

PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit, stand, and use a computer for extended periods. The role may include occasional lifting of up to 25 pounds for event materials.
WORK ENVIRONMENT
This role is based in Concord, with occasional travel required for events or donor-related activities. Flexible hours may be needed to support events or key deadlines.

Pay Range: Planned Parenthood Northern California (PPNorCal) supports California’s new law (SB 1162) enhancing pay transparency. This new law requires employers with 15 or more employees to include a pay range in job postings. The pay range reflects the compensation that a new employee can expect to receive if offered employment. Employees with more experience, education, and other qualifying factors may be compensated at a higher rate of pay. The pay range for this position is $68,460 - $80,400 annualized salary.
