FRONT DESK ADMINISTRATOR
We are seeking a diligent and forward-thinking Front Desk Administrator to play a pivotal role in supporting our General Manager and Human Resources Department at our company. This position will be instrumental in ensuring seamless operations and enhancing the efficiency of our management team.
Key Responsibilities
- Provide comprehensive administrative support to the General Manager, including managing calendars, scheduling meetings, and preparing meeting materials.
- Prepare, edit, and distribute reports, emails, memos, and other communications as needed.
- Greet all visitors that arrive at the facility.
- Answering the telephone in a professional and courteous manner
- Ordering lunches, employee flowers/gift baskets, branded clothing
- Organize and maintain confidential files, records, and documentation, ensuring accuracy and accessibility.
- Assist in the planning, execution, and management of events and meetings, including logistics coordination and agenda preparation.
- Assist with special projects and initiatives, providing support through research, analysis, and coordination.
- Enter purchase requisitions
- Maintain a high level of professionalism and discretion in handling sensitive information.
- Ensure a personal and associate awareness of all quality and business-related operating systems (ISO/IATF).
- Other duties as assigned
Qualifications, Skills and Experience We're Looking For
- High school degree or diploma in Business Administration or related field preferred; a combination of education, training and years working experience will be considered.
- Minimum of 2-3 years of experience in an administrative support role or similar capacity.
- Exceptional organizational skills with meticulous attention to detail and accuracy.
- Strong written and verbal communication skills, with the ability to engage effectively at all levels of the organization.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with virtual meeting platforms.
- Ability to prioritize tasks and work independently, maintaining adaptability in a fast-paced environment.
- Demonstrated ability to handle confidential information with integrity and discretion.
- Proactive problem-solving skills with the capacity to anticipate executive needs.
- Strong interpersonal skills with the capability to build and maintain effective relationships.
- Resourcefulness in managing and coordinating a diverse range of tasks and responsibilities.
