Duties
- Serve as the first point of contact for visitors and clients at the front desk, demonstrating excellent phone etiquette and professionalism.
- Manage incoming calls, emails, and correspondence, ensuring timely responses and appropriate routing.
- Maintain organized filing systems for both physical and digital documents, ensuring easy access to important information.
- Oversee calendar management for team members, scheduling appointments and meetings efficiently.
- Assist with office management tasks, including ordering supplies and coordinating maintenance services as needed.
- Proofread documents for accuracy and clarity before distribution and edit and make amendments as necessary.
- Arrange product shipments via email from one location to another.
- Collaborate with team members to ensure effective communication and workflow within the office.
- Utilize Google Suite applications for document creation, data management, and collaboration.
Requirements
- Proven experience as an Office Administrator or in a similar administrative role.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.\
- Microsoft office
- Some Sage software knowledge is helpful, but not a must.
- Experience in basic accounting software is helpful, but not a must.
- Proficiency in Google Suite (Docs, Sheets, Calendar) is essential.
- Excellent proofreading skills with a keen eye for detail.
- Strong interpersonal skills and the ability to work effectively within a team environment.
- Ability to maintain confidentiality and handle sensitive information with discretion.
