Duties

  • Serve as the first point of contact for visitors and clients at the front desk, demonstrating excellent phone etiquette and professionalism.
  • Manage incoming calls, emails, and correspondence, ensuring timely responses and appropriate routing.
  • Maintain organized filing systems for both physical and digital documents, ensuring easy access to important information.
  • Oversee calendar management for team members, scheduling appointments and meetings efficiently.
  • Assist with office management tasks, including ordering supplies and coordinating maintenance services as needed.
  • Proofread documents for accuracy and clarity before distribution and edit and make amendments as necessary.
  • Arrange product shipments via email from one location to another.
  • Collaborate with team members to ensure effective communication and workflow within the office.
  • Utilize Google Suite applications for document creation, data management, and collaboration.

Requirements

  • Proven experience as an Office Administrator or in a similar administrative role.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.\
  • Microsoft office
  • Some Sage software knowledge is helpful, but not a must.
  • Experience in basic accounting software is helpful, but not a must.
  • Proficiency in Google Suite (Docs, Sheets, Calendar) is essential.
  • Excellent proofreading skills with a keen eye for detail.
  • Strong interpersonal skills and the ability to work effectively within a team environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
