Front Desk Associate
Location: Plaza Del prado Condominium 18071 Biscayne Blvd, Aventura Florida 33160
Reports To: Assistant Property Manager
Job Summary:
The Front Desk Associate will serve as the first point of contact for residents, guests, and vendors entering the condominium. This individual will be responsible for handling day-to-day front desk operations, managing communications, coordinating access for visitors, and assisting with various tasks assigned by the management team. Strong communication, organizational, and customer service skills are essential. candidates are preferred to better assist the diverse community of residents and visitors.
Key Responsibilities:
1. Reception and Communication:
- Greet residents, guests, and vendors in a friendly and professional manner.
- Answer phone calls, respond to inquiries, and direct calls to appropriate departments or individuals.
- Maintain clear and professional communication with residents, management, and other staff.
- Communicate effectively in both , providing assistance to residents and visitors.
2. Package Handling:
- Receive, log, and notify residents of package deliveries.
- Ensure secure storage of packages until collected by the resident.
- Assist residents with package inquiries and resolve issues related to deliveries.
3. Visitor and Vendor Management:
- Monitor and manage guest and vendor entry to the property.
- Coordinate visitor access, verify guest identities, and issue visitor passes as needed.
- Maintain a log of all visitors, vendors, and contractors entering the building.
- Communicate and liaise with security staff to ensure smooth guest and vendor access.
4. Task Coordination:
- Assist with administrative tasks assigned by the property management team.
- Coordinate service appointments for maintenance and other requests.
- Keep track of ongoing tasks and provide updates to management.
5. Resident Support:
- Provide assistance to residents with any questions, concerns, or service requests.
- Keep residents informed about any building updates, announcements, or policy changes.
- **Assist residents who speak limited English by translating or relaying important information when necessary.**
6. Record Keeping and Reporting:
- Maintain accurate and up-to-date records of packages, visitors, and other front desk operations.
- Report any incidents or unusual activity to the property manager and security team.
- Assist with filing, data entry, and other administrative duties as needed.
7. Qualifications:
- High school diploma or equivalent.
- Previous experience in customer service, receptionist, or administrative roles, preferably in a residential or hospitality environment.
- in English and Spanish preferred.
- Excellent communication and interpersonal skills.
- Ability to multitask and work in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Proficiency with basic computer use.
