Job Description
As our Operations Specialist, you will be responsible for creating, implementing, and owning processes that will improve our customer and patient success. You will work cross-functionally with various teams and ensure a company runs smoothly and efficiently by implementing processes and practices across the organization.
In addition, you will support the company’s accounting processes by managing customer accounts and payment reconciliation.
Responsibilities:
· Your work is all about making a meaningful difference in patient’s lives
· Create and document processes for customer success, patient success, and sales enablement
· Establish key metrics and lead the development of analytics to provide insightful recommendations.
· Assist Operations Manager with preparing customer reports and quarterly presentations
· Prepare regular and ad hoc business reports. Review reports for accuracy and completeness.
· Clean and sort data sets for projects, KPIs, or customers. Prepare presentations based on data analysis
· Assist Logistics & Support department as needed
· Manage customer invoice process from end-to-end: prepare invoice data, generate, document, and investigate discrepancies
· Track received revenue by tracking and be a go to resource for customer’s payment team in addressing open invoices.
· Manage accounts payable to third-party vendors: track payments and resolve billing issues
Our ideal candidate will have:
· Bachelor’s degree in business, accounting, finance or related fields
· 2 years of experience in business operations
· Self-starter who can work independently as well as in a team setting.
· Strong interpersonal and exceptional problem-solving skills
· Excellent communication and interpersonal skills
· Strong critical thinking and problem-solving skills, including the ability to perform root cause analysis.
· Demonstration of high attention to detail and ability to prioritize initiatives while managing work time efficiently. Self-starter who can work independently and in a team.
Skills
· Proficient knowledge of MS Office: Excel, pivot tables, V-Lookup, macros and formulas; Using Vizio, PowerPoint, or Word to create visualizations of a process.
· Must understand basic principles of finance, accounting, and bookkeeping
· Experience creating customer facing presentations using data and anecdotal information
· Aggregating large data sets. Using data to tell a story. Data Analytics, data cleaning, dashboards, reports, trackers, formulas, pivot tables
· Any VBA coding experience would be a plus
