Job Summary
The Client Payroll Administrator is responsible for owning, updating, and coordinating all payroll administrative duties for an assigned client base. This role requires a detail-oriented individual with prior payroll processing experience and excellent verbal and written communication skills. You will manage client payroll processing schedules-including off-cycle runs, onboarding new hires, terminating employees, and handling workflow approvals/rejections-while ensuring accurate and timely service. Key Responsibilities
Payroll Administration:
- Handle all payroll administrative duties for assigned clients (typically 20-35 clients).
- Update the payroll system with all employee-related information including new hires, terminations, and changes to demographics, tax filing & exemptions, direct deposit, deductions, and salaries.
- Set up new earnings/deduction codes as needed and implement additional client items (ESS, Leave plans, 401K, Time, etc.).
- Enter or import payroll information on processing day and complete payroll preview and internal audits.
- Review and compare current payroll data with previous runs to ensure accuracy of earnings, deductions, and tax amounts.
- Send documentation and reports for client review as part of the preview process (e.g., Payroll Authorization Form, Payroll Summary, Payroll Register, New Employee and Change Audit, Expectations, Employee Zero Earnings Report).
- Handle off-cycle payroll runs (bonuses, missed payments) and calculate manual checks when needed.
- Process automatic payrolls and create custom reports.
- Address any client or, if agreed upon, employee requests in a timely manner with a sense of urgency.
- Provide guidance on Year End Payroll processing.
- Perform other related duties as needed.
- Manage your assigned client base in accordance with their payroll processing schedules.
- Handle off-cycle runs, onboard new hires, terminate existing employees, and approve or reject workflows.
- Respond to any additional client requests as they arise throughout the day.
Training Approach
- After completing initial onboarding and isolved University courses, you will work directly with your manager for at least two hours each day to review client processes, procedures, emails, and to complete tasks as they come in.
- Complete isolved University training and have isolved production turned on, working closely with your manager.
- Begin managing an initial client base while continuing daily training.
- Assume full responsibility for all assigned clients with minimal guidance; proactively reach out for support only as needed.
- Monday - Friday, 8:30 AM to 5:30 PM EST.
- Experience with payroll/HCM software is required, with isolved experience strongly preferred.
- Superior service skills with a client-focused approach that drives customer loyalty.
- Excellent analytical and time management skills.
- Ability to work both independently and as part of a team.
- A positive attitude and flexibility to work overtime when necessary.
- Highly motivated, self-starter in a fast-paced, continually changing environment.
- At least 2 years of experience handling payroll administrative duties in a client service, customer service, or technical environment.
- Prior payroll processing experience is essential.
- Detail oriented with strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- FPC or CPP certification.
- Proficient in Microsoft Excel and Outlook; familiarity with isolved is highly preferred, and experience using SharePoint is a plus.
