DiaMedical USA is a fast-growing medical equipment distributor looking to fill a Contract & Bid Proposal Coordinator position in our Farmington Hills, MI office. As a member of the Sales team, the Contract and Bid Proposal Coordinator plays a vital role by managing the full life-cycle of the bidding process, proposals, and contract management that leads to compliant, winning results.
The focus of this specialized, technically oriented position is on meeting high standards of accuracy and quality. Expertise will be developed in the role with attention to developing a creative solution to problems and decisions. Regularly communicating viewpoints on problems, opportunities, and changes in a factual, straightforward manner is needed. This job allows for an independent self-starter with opportunities to work collaboratively.
Key Responsibilities and other duties as assigned:
- Manages the bid proposal and contract process to ensure on-time delivery of compelling, compliant, and well-written bid proposals ensuring all documentation is sent out in a timely manner.
- Acts as the central point of contact and guides the work of the Sales team to effectively respond to bid proposal and contract requirements.
- Monitors bid proposal content to ensure compliance to RFP requirements, evaluation criteria, and technical requirements.
- Leads collaboration with Sales, Marketing, Finance, and Purchasing to analyze, prepare development plans, and respond to Request for Proposals (RFPs), Request for Quotations (RFQs), Requests for Information (RFIs).
- Prepares and communicates detailed proposal plans, schedules, outlines, and compliance for all phases of proposal and bid development for management review and approval.
- Works with the Sales Manager on win strategies to articulate in the bid proposal including identifying strategic relationships, competitive advantages, value propositions, risk reducers, and solutions over competitor offerings.
- Captures, analyzes, and acts on win/loss information and maintains templates and processes to improve quality and reduce response time on future bids.
- Independently researches applicable regulations, policies, and information (corporate or product-related) for bid and contract management.
- Sources procurement opportunities and maintains bid opportunity pipeline to report to the Sales team.
- Works with the Sales Manager and Accounting department to complete vendor forms, review customer contracts, adjustments to terms and conditions and request technical documentation from vendors.
- Research new and existing solicitation avenues to grow Federal and State contracts.
Completes Quarterly Contract and Bid Sales Reporting to the required entity.
Supervisory Responsibilities:
- This position has no supervisory responsibilities.
Education:
- Associate’s degree in a related field and 2 years of experience or a combination of 4 years of education and relevant experience.
Skills and Experience:
- Experience in an RFP, bidding, quoting, or contract environment and/or legal document review required.
- Intermediate proficiency with Microsoft Word and Excel.
- Ability to work on own initiative, meet tight deadlines and balance priorities to achieve results.
- Quality-driven individual with a high attention to detail.
- Strong decision making and creative problem-solving skills
- Excellent writing, grammar, and spelling ability.
- Good verbal communication skills including interacting with internal and external contacts.
- Ability to understand how pricing influences sales and profitability.
