Position Summary: The Invoicing Coordinator will be responsible for managing the invoicing process, ensuring accuracy and timeliness in billing and maintaining financial records. This role requires strong attention to detail, excellent organizational skills, and the ability to work collaboratively with various departments.
Responsibilities:
· Invoice Projects based on billing milestones defined in customer contracts.
· Submit Customer Invoices and required project details to Customer portals to ensure paymentbased on customer terms, investigate circumstances of non-payment, negotiate and escalateissues, expedite payments.
· Reconcile Advance Billings and Retainage accounts monthly.
· Prepare and issue invoices to customers in a timely and accurate manner per the terms of thepurchase order or customer contract.
· Verify and reconcile billing data to ensure accuracy.· Monitor accounts receivable and support collections on outstanding invoices.
· Collaborate with the sales and project management teams to resolve billing discrepancies.
· Maintain and update customer records in the accounting system.
· Generate and analyze billing reports to identify trends and areas for improvement.· Assist with month-end closing activities and financial reporting.
· Respond to customer inquiries regarding invoices and payments.
· Ensure compliance with company policies and procedures.
Qualifications
Required Knowledge/Experience:
- High school diploma or GED
- Minimum of 1 plus years' experience in invoicing or billing Required Skill/Abilities:
- Proficiency in accounting software (Preferably IFS) and Microsoft Office Suite (Excel, Word, Outlook).
- Excellent organizational and time management skills.
- Ability to maintain discretion and confidentiality.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
Work Environment and Physical Demands
- FLSA executive and professional positions paid on a salary basis, where project requirements and tight client deadlines may require workweeks over forty (40) hours (including weekends or holidays)
- This role will work in an office setting, however frequent visits to the production floor are required to oversee operations, ensure compliance and safety standards and engage in staff.
o Mobility: Ability to move around the manufacturing plant, including walking,standing, and climbing stairs.o Manual Dexterity: Occasional use of hands to handle or feel objects, tools, orcontrols.o Lifting: Ability to lift and carry items up to twenty-five (25) pounds. All lifting shouldbe done following OSHA standards.o Visual and Auditory Requirements: Must be able to see and hear well enough tonavigate the plant safely and communicate effectively with team members.o Protective Equipment: Must be able to wear personal protective equipment (PPE) asrequired, including safety glasses, ear protection, and steel-toed boots.
Work hours: Monday to Friday 7am to 4pm
