The Role
We need someone who can:
- Manage a dynamic schedule while keeping things flowing
- Make clients feel genuinely welcomed and cared for
- Handle day-to-day operations independently
- Stay calm and organized when things get busy
Hours: 15-30 hours/week, flexible schedule with some evening coverage needed
Pay: $20.38-$22.41/hour based on experience
What You'll Do
- Welcome clients and manage the complete visit cycle from booking to checkout
- Master our scheduling system (Jane app) to optimize practitioner schedules and client flow
- Handle room turnover between clients, maintaining our high standards for cleanliness
- Manage opening and closing procedures, ensuring the space is ready for each day
- Track and order supplies, keeping inventory well-stocked
- Build genuine relationships with clients through attentive communication
- Process payments, explain offerings, and handle occasional insurance verifications
- Coordinate client communications including appointment coordination and follow-ups
- Support marketing efforts through newsletter creation and social media (mega bonus skill)
What We're Looking For
- Previous front desk or customer service or sales experience
- You know how to build genuine connections
- Strong attention to detail and exceptional organizational skills
- Adaptable and comfortable with changing schedules
- Expert multitasking abilities - you can juggle various tasks while maintaining calm
- Proactive mindset - you notice what needs to be done before being asked
- Tech-savvy with ability to learn new software quickly
- Experience with newsletters and social media content creation a plus
- Reliable transportation and consistent punctuality
- Interest in healthcare or integrative medicine a plus (and if you’re in school, please apply! we can work with your schedule!)
- Strong self-motivation and ability to work independently
