Position Overview
PolicyLink is seeking an Operations Coordinator role to join our team. This role will interact with a broad cross-section of the organization, providing a unique opportunity to learn myriad aspects of nonprofit operations and how best to optimize them to drive our mission and achieve our organizational result.
The Operations Coordinator will report directly to the Chief Operating Officer (COO) with a dotted line to the Chief Financial Officer (CFO). This unique dual-support role makes the position crucial for bridging various business functions and enhancing organizational efficiency. The Coordinator will also provide support to the Vice President of People and the Director of IT, underscoring the role’s importance to the executive team.
In this capacity, the Coordinator will play a pivotal role in maintaining and improving operational workflows, facilitating effective communication and collaboration across departments.
The ideal candidate will be highly organized, adept at managing multiple priorities, and solutions-oriented. The position requires a high degree of professionalism and the ability to handle sensitive information with discretion. Prior experience in supporting senior-level management and a demonstrated understanding of operational and financial processes within a nonprofit environment is highly valued.
Key Responsibilities
Operations and Executive Administrative Support
Manage the daily calendars of the Chief Operating Officer, Chief Financial Officer, Vice President of People, and Director of IT, prioritizing appointments and coordinating complex scheduling.
Plan and coordinate virtual and in-person meetings and events, including scheduling; preparing agendas; researching and compiling materials for meetings and presentations; ensuring organization and easy access to reference documents; circulating documents; notetaking; tracking action items; and sending follow-up communications.
Support IT Operations initiatives by coordinating project schedules, attending meetings, and managing timelines, milestones, and other key factors.
Use project management software to ensure alignment and progress across teams and track and manage priorities, timelines, and task ownership.
Maintain the flow of information on key business processes, including an inventory of key partners and performance metrics in Salesforce.
Attend regular meetings with the COO and CFO to debrief on projects, discuss strategy, and align on competing priorities and timelines.
Draft original correspondence, reports, and documents in Word, Excel, PowerPoint, and other applications as needed.
Cross-Functional Projects
Support the implementation of various project initiatives as needed, which may involve communicating with internal and external partners, tracking project milestones, and participating in team meetings.
Collaborate with various departments on cross-functional projects and process optimization to ensure alignment with organizational goals and facilitate effective communication across teams.
Qualifications and Desired Skills
A demonstrated and unwavering commitment to racial and economic justice.
Bachelor’s degree or above.
3-5 years of experience in executive-level support or a similar role with transferable skills, including experience supporting accounting or other finance roles.
Highly proficient in : Microsoft Office (especially Word, Excel, and PowerPoint), GSuite; Zoom; Asana (or similar task / project management software); Salesforce (or similar CRM); and Certify (or similar expense reporting system).
Advanced time management and project tracking skills to support cross-functional executive-level operations and project management.
Strong organizational skills and the ability to prioritize effectively while managing multiple tasks and competing deadlines.
Excellent written and verbal communication skills, with outstanding attention to detail.
Exceptional problem-solving skills with the ability to exercise sound judgment.
Basic design skills and an eye for aesthetics in communication materials.
Must be a person of integrity using discretion with proprietary information and confidential matters.
Outstanding interpersonal skills, capable of building relationships and engaging effectively with diverse staff and partner organizations at all levels of the organization.
Enthusiastic, energetic, highly motivated self-starter, able to thrive in ambiguous situations.
An understanding of nonprofit organization operations.
Adaptability and flexibility in a fast-paced environment.
Ability to work effectively and efficiently virtually and in person with minimal supervision.
Ability to travel internationally and domestically, as needed for conferences, business meetings, and training — up to 10%.
Work Environment
This position reports to the COO with a dotted line to the CFO and will work closely with staff at all levels of the organization who work from five time zones (Pacific, Mountain, Central, Eastern, and Hawaii). The position is remote, with travel (10 percent) for periodic team gatherings, professional development, and organizational events.
Compensation and Benefits
The salary range for this position is $78,750 – $85,000, dependent upon experience. Additionally, PolicyLink provides a comprehensive benefits package that includes :
