POSITION SUMMARY:
The primary roles and responsibilities for this position are to provide administrative support within the areas of accounting, procurement and project management throughout the organization.
DAILY OVERSIGHT AND RESPONSIBILITIES
· Receive all invoices for accuracy and compliance with contract requirements.
· Process vendor invoices which include entering invoices into the Foundation software system, account coding, posting and routing for approval.
· Vendor Management - i.e., set up of new vendor accounts, complete credit applications, contact vendors regarding issues, send partial/final waivers, and review vendor statements.
· Print weekly checks.
· Prepare, run and mail yearly 1099s.
· Work in conjunction with Project Management team, Superintendents, Engineers, and other departments to complete related tasks.
· Support the management team in project budget reporting.
· Maintain project records, including all material and equipment.
· Prepare, issues, and organize Purchase Orders ensuring compliance with contract requirements including but not limited to insurance, bond, and waiver documentation.
· Create, set up, monitor, and maintain projects in ProCore system.
· Assisting in creating project-related documents.
· Work with the field team to organize project related equipment and company equipment.
· Manage all aspect of the company fleet program including purchase, registration, sale, and maintenance.
· Coordinate company clothing orders 2X p/year.
· Ensure adequate financial controls are in place.
· Provide backup to Controller as needed.
· Work on special projects as assigned.
· Other duties, tasks, and responsibilities that may be assigned at any time.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED BY THE POSITION
· Associate degree in Accounting/Finance, Business Management, or other related field preferred but not require or combination of education and experience within accounting, finance, procurement and business.
· 3-4 years of administrative support within construction, engineering, or related industry.
· 3-5 years of combined accounting and procurement experience.
· Knowledge of construction field with a focus on accounting, contracts and procurement.
· Excellent attention to detail, organization skills and advanced data entry.
· Ability to meet deadlines, be dependable, and maintain confidentiality.
· Effective verbal, written and active listening skills.
· Demonstrates a sense of urgency and takes direction to implement changes adapting to each situation.
· Utilize tack and diplomacy in dealing with difficult and sensitive situations. Work effectively as part of the team to tackle and resolve issues providing creative solutions to problems that achieve results and meet project objectives.
· Build effective working relationships with internal and external stakeholders. Ability to work well with all levels of the organization.
· A self-starter with the ability to work independently as well as in a team.
· Intermediate experience with MSOffice Suite. Foundation and ProCore experience a plus.
