About the role:
The Office Manager & Document Control Specialist plays a key role in ensuring the smooth operation of our office while maintaining an organized and secure document management system. You will oversee administrative functions, support HR-related tasks, and ensure efficient storage and retrieval of company records—both physical and digital. Your ability to multitask, maintain confidentiality, and collaborate across departments will contribute to a well-structured and productive work environment.
In addition, the Office Manager & Document Control Specialist will serve as a point of contact for office-related needs, work to improve organizational workflows, and assist leadership in administrative functions to optimize efficiency.
Responsibilities:
Office Management & Administrative Support:
- Oversee daily office operations, ensuring a professional and organized work environment.
- Serve as the primary point of contact for office-related inquiries, managing supplies, vendor coordination, and general office upkeep.
- Support leadership with scheduling, meeting coordination, travel arrangements, and other administrative tasks.
- Assist in processing company correspondence, mail distribution, and recordkeeping.
- Maintain and update company policies, procedures, and office documentation.
Document Control & Compliance:
- Implement and maintain an efficient document storage system, ensuring secure and structured management of physical and digital records.
- Scan, upload, categorize, and manage documents within cloud-based storage systems while maintaining version control.
- Perform regular audits to ensure document accuracy, compliance, and adherence to company policies.
- Develop and implement document retention schedules and disposal protocols.
- Assist employees with document retrieval and provide training on proper document handling procedures.
HR Support & Employee Engagement:
- Assist with onboarding new hires, including preparing documentation, setting up workspaces, and conducting office orientation.
- Maintain employee records and ensure confidential HR documents are securely stored.
- Support HR functions such as tracking time off, updating employee files, and coordinating training sessions.
- Help coordinate company events, employee engagement initiatives, and internal communications.
Team Development & Collaboration:
- Work closely with leadership to improve office procedures and workflow efficiencies.
- Collaborate with IT and other departments to enhance document management security and compliance.
- Provide guidance to employees on document management best practices and office procedures.
- Ensure that all team members follow precise documentation and organizational protocols.
Requirements:
- Prior experience in office management, administrative support, or HR assistance.
- Strong organizational skills with high attention to detail.
- Proficiency in cloud-based storage systems (GSuite, SharePoint, Dropbox, etc.).
- Ability to handle confidential information with professionalism and discretion.
- Excellent communication and problem-solving skills.
- Ability to manage multiple tasks and prioritize efficiently.
- Must be able to commute and work on-site daily.
Preferred Qualifications:
- Experience with HR processes and employee record management.
- Knowledge of compliance regulations and document retention policies.
- Familiarity with office equipment, filing systems, and administrative best practices.

Compensation Range:
$20 - $23 hourly depending on experience
