Summary/Objective
The Accounting and Logistics Coordinator position is responsible for coordinating logistics activities to ensure smooth and successful machine delivery and invoicing, as well as managing and documenting financial transactions, preparing financial reports, and ensuring compliance with accounting standards and regulations. Work closely with the accounting manager, sales team, factory, customs broker, logistics companies, and other internal departments.
Essential Functions

- Manage machine purchase orders and confirmations.
- Coordinate with the factory, brokers, dealers, truckers, and salesmen.
- Prepare import and export documentation and filing.
- Negotiate freight and forwarder assembly freights from ports.
- Arrange transportation from ports, follow up on shipments, transportation, and costs, including for export.
- Assist PLC with several import-related issues.
- Follow up on sales contracts and required documentation.
- Prepare machine invoices.
- Maintain machine inventory and machine cards in Filemaker.
- Prepare journal entries for month-end financial reporting.
- Report to the accounting manager the finances of the organization.
- Establish records of accounts and input entries into proper accounts.
- Document and ensure proper keeping of financial records, making use of current technologies.
- File the monthly sales and use tax reports for multiple states.
- Facilitate month and year-end closes and audits.
- Reconcile customs duties for parts shipments coming from Finland.
- Enter machine purchase invoices, duty, import-export bills into A/P.
- Maintain data for sales commissions.
- Maintain Excel Sales and Orders Summary Report (order stock).
- Maintain Machine Tracking Excel Spreadsheet.
- Assists with Accounts Payable and Accounts Receivable, as needed.
Qualifications:
- Relevant background in accounting, import/export/customs requirements, and logistics.
- Knowledge of basic accounting principles and practices.
- Excellent communication skills.

Supervisory Responsibility
The Accounting and Logistics Coordinator has no supervisory responsibilities.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is largely a sedentary role; however, some activity is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary as well as the ability to lift, push, pull items when doing set up for events. Would require walking to the event site.
Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are Monday through Friday, 7 a.m. to 5 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours as well as availability during marketing events.
Travel
This position requires minimal travel.
Required Education and Experience
B.A. or B.S. degree in Accounting and one – two years of experience in an accounting role.
