SUMMARY:
- We are seeking a detail-oriented and experienced Payroll and Accounts Payable Specialist with a strong background in union construction payroll compliance. This role ensures accurate processing of union payroll, vendor payments, and adherence to federal, state, and union regulations, including certified payroll reporting
KEY RESPONSIBILITIES:
Payroll (Union-Focused):
- Process weekly union payroll, including fringe benefits, prevailing wage, and certified payroll reports. Filing Intent to pay prevailing wage and Affidavit of Wages paid
- Maintain compliance with collective bargaining agreements (CBAs), union dues, and benefit trust contributions
- Coordinate with project managers and superintendents for accurate labor coding and timekeeping
- Prepare and submit union reporting to various locals/trust funds (e.g., LIUNA, Operative Plasterers & Cement Masons, Operating Engineers)
- Respond to payroll audits and ensure data accuracy
- Knowledge of Foundation Accounting Software and HeavyJob a plus.
Accounts Payable:
- Process vendor invoices, match POs, and resolve discrepancies
- Coordinate payment schedules and process checks/ACH payments
- Assist in job cost allocations and ensure accuracy in coding
QUALIFICATIONS:
- At least 3β5 years of payroll/AP experience in a union construction environment preferred
- Proficient in construction accounting software (Foundation & HeavyJob preferred)
- Strong knowledge of prevailing wage laws, certified payroll, and union remittance processes
- Ability to manage multiple priorities in a fast-paced environment
- High attention to detail, confidentiality, and time management skills
Preferred Skills:
- Experience handling multi-state payroll
- Notary Public certification
