The Receptionist – HR Assistant has the primary responsibility of answering and directing incoming telephone calls, greeting corporate headquarter guests and tracking the Board and conference room meetings. This position is also responsible for assisting the Talent Acquisition and Leave of Absence teams with daily tasks and providing backup assistance to the mailroom and HR team as needed.
Major Responsibilities
- Answers and directs incoming calls to the appropriate department/party.
- Greets guests and contacts the appropriate party desired. Provides visitor badges as needed and monitors guest sign in logbook for accuracy and compliance. Updates the monthly parking token spreadsheet and sends to upper management on the 1st of each month.
- Accepts appointments and manages schedules for conference rooms.
- Maintains appearance of the reception area on the ninth floor.
- Handles check pick up by Loomis as needed.
- Acts as one of two Floor Fire Wardens for the 9th floor of the corporate office.
- Responds to employee emails regarding build issues; submits work orders to building maintenance.
- Serves as backup to mailroom in turning on the Espresso machines on all floors in the morning and cleaning and turning them off at the end of each day.
- Assists Talent Acquisition team by opening and closing requisitions within HRIS, posting jobs to necessary job boards, invoice tracking, reviewing resumes, and communicating with field HR partners regarding their requests.
- Schedules and conducts on-site pre-employment screening oral drug tests for the corporate office; schedules and monitors results of off site drug testing as needed. Enters results on Talent Acquisition spreadsheet.
- Assists Leave of Absence team by creating and updating employee LOA files; creating and filing case notes; updating employee status within the HRIS; generating and sending various LOA correspondence; monitoring the LOA email inbox; and ensuring all LOA related documents are saved in the appropriate files.
- Performs projects in Excel, Word, and PowerPoint for the HR Team and other teams as needed.
- Serves as a backup to mailroom and HR Generalist during absences or lunches.

Position Type/Expected Hours of Work
