The Position:
This is a client-facing role. Our Agents are our clients. You'll need to demonstrate effective, but positive communication in a fast-paced environment. You'll serve as an administrative generalist: a combination of customer service, production assistant, agent liaison, and staff support. You’ll work hand-in-hand with the Managing Broker and the rest of Leadership to efficiently and effectively accomplish departmental and company goals and complete projects.
Responsibilities:
- Act as a representative of PorchLight by communicating effectively and professionally with agents and staff in person, via phone, and via email.
- Track expenses related to the office credit card.
- Overall management of the assigned office.
- Provide top-notch customer service with a smile.
- Onboard new agents and answer any questions to help get our agents in all of our systems in a timely and accurate manner.
- Help to execute PorchLight’s cultural plan by working with the office Managing Broker to create and facilitate the details of office events.
- Master administrative systems and procedures to both work within them and help consistently improve them.
- Answer phones in a friendly, professional, and efficient manner.
- Overall office upkeep to ensure office common areas are neat and well-stocked (includes ordering supplies), including kitchen, production area, and bathrooms (where applicable).
- Manage calendars and setting up of conference rooms and event/training spaces for classes, meetings, demos, and events.
- Use design software to create all listing brochures, adhering to high quality and accuracy standards.
- Post agent announcements to appropriate WorkPlace (Facebook) groups.
- Fulfill agent requests such as referral and post inspection gifts, onboarding gifts, and generators.
- Create social media graphics from templates for agents.
- Print Open House collateral.
- Maintain all office equipment and scheduling regular maintenance.
