Job Description

The Executive Assistant provides vital support to the CEO by handling administrative tasks, streamlining processes, and ensuring the efficient management of sponsor and member relationships. This role enables the CEO to focus on securing funding and strategic growth. The ideal candidate is proactive, organized, tech-savvy, and excels at communication.

Key Responsibilities

Sponsor and Member Support :

o Develop collateral for sponsorship and membership outreach.

o Assist in scheduling meetings related to funding and membership acquisition.

o Process agreements, follow-ups, and thank-you correspondence after approvals from sponsors and members.

Technology and Office Management :

o Manage and troubleshoot office technology.

o Maintain a well-organized and well-stocked supply closet and office environment.

o Ensure the team remains focused on high-impact areas by optimizing processes.

Administrative Support :

o Field incoming phone calls and emails; manage outgoing communications.

o Maintain and update the website events calendar and member database.

o Oversee filing systems and document organization.

o Calendar Management : Maintain and organize the CEO’s schedule, including appointments, meetings, and deadlines, ensuring optimal time management and preparation for engagements.

Event and Schedule Coordination :

o Keep the events calendar accurate and up-to-date.

o Facilitate coordination for internal and external meetings, ensuring smooth operations.

General Support :

o Act as the primary point of contact for day-to-day administrative inquiries.

o Perform other duties as assigned to support the mission.

Requirements

Qualifications

Experience :

o 3 years of administrative experience preferred.

o Familiarity with tools such as WordPress, MailChimp, and Neon CRM is a plus.

Skills :

o Exceptional organizational and time management abilities.

o Strong written and verbal communication skills.

o Proficiency in office technology and process optimization.

Traits :

o Driven, Self-motivated, detail-oriented, and able to work independently.

o Team player who thrives in a dynamic environment.

Requirements

Salary : $22 - $25
