Description
The CFS Administrative Assitant will provide support to the Children & Family Services Department, the Director and the CFS Program Managers through a wide range of support tasks. This position will be the first contact for tribal/community members and clients coming to CFS for services. Must be exceedingly well organized and able to respond to customers in a fast-paced environment, sometimes under pressure.
This position will direct clients to the appropriate program within CFS, and also provide individual program support when requested.
This position reports to the CFS Assitant Director.
Duties Include:
- As first contact person for CFS, this position will assist tribal/community members with informatioin about programs offered at CFS and directing them to the approproiate program.
- Provides program support to all programs within CFS, including, but not limited to coping, preparing surveys, participating in programatic events put on by CFS, and helping with the elders, when needed.
- Reporting: Completes reports as requested byt the CFS Director or Assistant Director.
- Publicity: Writes monthly article(s) for S'Klallam news featuring one or more of the department programs. Provides timely updates and announcements to the community memo.
- Meetings: Attends and participates in various community meetings and staff committees whose goals directly or indirectly relate to the Children and Families Department. These may include monthly CSF Department meetings and others. Member of the various prevention committees.
- Personal Contacts: Maintains regular contacts of a positive nature with clients, staff, community members, DSHS, Federal agencies, County Health Department, Tribal staff, and others to accomplish department objectives and preserve good public relations. Represents the Department in outside meetings.
- Resource Access Assistance: Assists individuals interpreting eligibility requirements, completing necessary forms and applications and facilitates problem solving with various health and social service agencies and providers.
- Other Duties as Assigned including supervision of additional staff at the direction of the CFS Director.
Qualifications:
- Education: High School Education or Completion of GED required. AA preferred, and 2 or more years of administrative office work may be accepted in lieu of education with an approved plan to continue working toward required education. Other office work or tribal experience will be considered.
- Licensing: First Aid Certification, CPR certification, Washington State Driver’s License, and others as necessary.
- Job Skills: Excellent organizational and writing skills required. Ability to multi-task, maintain confidentiality, and represent the department in a professional manner.
- •Other: Basic personal computer skills are required, as well as the ability to learn word-processing, spreadsheet, and other software programs.
Requirements:
- Regularly required to use hands to finger, handle or feel and talk or hear.
- Frequently required to walk, sit, stand, and reach with hands and arms.
- Occasionally required to lift and/or move up to 25 pounds.
- Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
Travel Requirements:
- Local, Statewide, and out of state travel may be required.
