What are the responsibilities and job description for the Administrative Assistant to HR and Accounting position at Port Of Brownsville?
The office clerk will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department and accounting.
DUTIES AND RESPONSABILITIES:
- Maintains the integrity and confidentiality of human resource and accounting files and records.
- Provides clerical support to the HR and Accounting department.
- Screens and routes telephones calls. Perform general clerical duties including but not limited to filing, scanning, photocopying, faxing, and mailing.
- Assist with scheduling and management.
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, retirement celebrations, and W-2 distributions.
- Assist with scheduling and management.
- Performing accounts payable ensuring all bills are paid.
- Performs data entry tasks, managing the office filling system and company correspondence.
- Collaborates with all departments to ensure all purchases submitted meet the requirements and have the proper approval to be able to proceed with purchases.
- Provides help when needed with various projects for other departments.
- Maintaining confidential of sensible financial and business information.
- Performs other related duties as assigned by management.
QUALIFICATIONS:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tack, professionalism, and diplomacy.
- Proficient with Microsoft office suite or related software
- Ability to manage priorities and workflow.
- Must have a great knowledge of bookkeeping practices and procedures.
- Excel formulas experience required.
- Experience with QuickBooks desktop and online.
- Experience in Teams and expertise in office calendar.
- Ability to work on complex projects with general direction and minimal guidance.
- Ability to understand all safety requirements and cautions,
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
- Continually working on a dusty work environment
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times.
