Responsibilities
POSITION SUMMARY:
The Executive Assistant provides high-level, confidential administrative support to the Vice President of the Texas Division, ensuring seamless coordination of both business and personal matters. This role is responsible for managing day-to-day administrative functions, maintaining efficiency in the Austin office, and serving as a key liaison between the Vice President and internal/external stakeholders.
Qualifications
RESPONSIBILITIES:
- Handle confidential personal information as well as sensitive to company operations, performance, or value
- Demonstrate a high degree of professionalism, initiative and independence
- Assist in timely management of all communication, both written and oral; compose letters, emails and statements independently and monitoring follow up
- Use initiative to handle a wide variety of administrative support duties, manage complex calendars, arrange meetings on and off site, travel
- Prepare agendas; attend meetings; maintain office files both electronic and hard copies
- Arrange for and schedule appointments; prepare materials for meetings as appropriate
- Serve as a resource for information
- Perform other related duties incidental to the work described herein, including general clerical
- Open, sort, and distribute incoming correspondence, including mail, faxes and emails
- Meet and greet clients and visitors
- Light driving as needed.
- Other miscellaneous duties as assigned
QUALIFICATIONS:
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
- Professional verbal and written communication skills
- Open to occasional travel
- Basic arithmetic skills
- Valid Driver’s License.
- Proficiency of Microsoft Office programs: excel, word, PowerPoint and Outlook
- Knowledge of accounting software, either QuickBooks or Quicken
- Ability to type 50 wpm
