The Assistant Director for Fundraising and Constituent Relations reports to the Director of Advancement. This position joins a dynamic Advancement Office team that spearheads all facets of institutional advancement, including development, constituent relations and engagement, and communications. The Assistant Director supports multiple directors, including the Director of Advancement, Director of Advancement Events, Director of Alumni Relations, and Director of Annual Giving. This position will be engaged in a number of fundraising and stewardship initiatives in support of overall annual giving. This position will also be responsible for several office administrative duties.
Areas of Responsibility:
The Assistant Director will support the planning, development, and execution of fundraising efforts to increase annual giving across the school’s constituencies and provide general office administrative support.
- Support the Advancement Office in achieving success through annual and planned giving programs, alumni and constituent relations, and special events
- Assist the Director of Advancement Events in planning and executing key community events, including Fall Frolics, Book Fair, Scholarship Auction, Grandparents Day, and other smaller events as they arise
- Collaborate with the Director of Alumni Relations in developing a comprehensive alumni engagement strategy that advances alumni support and connection to Potomac through innovative programming, events, and ongoing communication
- Work closely with Director of Annual Giving in planning and executing Annual Giving strategies, events, and mailings
- Serve as the primary liaison for the Annual Giving Volunteer program
- Collaborate with staff and parent association volunteers for maximum success
- Partner with colleagues across Advancement to assist with other projects as needed
- Participate in additional team meetings and activities as needed
- Coordinate and execute stewardship initiatives
- Collaborate with the Communications Team to coordinate messaging and engagement through various channels of communication
Additional responsibilities include, but are not limited to:
- Managing administrative detail for a variety of projects
- Managing office invoices and supplies
- Maintaining the office and advancement event calendars
- Serving as recording secretary for staff meetings
- Assuring discreet and confidential handling of all business
- Updating and coding data in Veracross, our fundraising database
Qualifications:
- Bachelor's Degree and three to five years of related experience in development, fundraising, communications, or alumni relations in an independent school or nonprofit Advancement or Development office
- Outstanding oral, written, listening, and communication skills, along with the ability to present information concisely, accurately, and effectively
- Flexibility and a strong attention to detail
- Ability to balance competing priorities in complex situations and manage tight deadlines in fast-paced environment
- Consistently and reliably foster a spirit of collaboration by showing initiative, willingness to help others, and commitment to team goals
- Ability to develop and maintain effective working relationships with volunteers, donors and prospects, administrators, and staff
- Ability to organize and prioritize work, combined with the ability to work independently with little supervision
- Assure discreet and confidential handling of all business
- Expertise with Microsoft Office and the Google Suite is essential
- Experience with CRM databases and GiveCampus is preferred
- Willingness to develop an understanding and appreciation of the culture and traditions of The Potomac School
