Position Overview:
The Executive Assistant to the Chief Revenue Officer (CRO) plays a critical role in supporting the Powder Haven real estate sales team at Powder Mountain. This individual provides high-level administrative and operational support to the CRO, helping manage schedules, communication, and project flow to ensure the effective execution of strategic initiatives. The Executive Assistant acts as a trusted partner, maintaining discretion, efficiency, and organization across day-to-day operations while supporting the fast-paced and dynamic needs of the real estate business. This position is onsite at Powder Have Office M-F, 9-5.

Requirements
Key Responsibilities:
Executive Support
- Manage and optimize the CRO’s calendar, including scheduling internal and external meetings, calls, and events.
- Coordinate travel arrangements, accommodations, and detailed itineraries.
- Prepare and organize materials for meetings, presentations, and reports.
- Serve as a gatekeeper and point of contact between the CRO and internal/external stakeholders.
- Draft and manage email correspondence, memos, and communication on behalf of the CRO.
- Review contracts, legal communications, and development or real estate-related emails to identify and relay key information to the CRO, distinguishing actionable items from non-essential details.
Operational Coordination
- Support key real estate initiatives and team projects by tracking timelines, deliverables, and follow-ups.
- Maintain organized records of contracts, documents, and presentations related to real estate sales.
- Partner with the real estate sales team to ensure smooth coordination of events, tours, and client experiences.
- Collaborate with the Legal department to coordinate the review, execution, and tracking of real estate contracts and documentation.
- Help manage CRM updates, data entry, and pipeline tracking with attention to accuracy and confidentiality.
Team and Client Engagement
- Assist with planning and executing team meetings, client events, and retreats.
- Coordinate communication with high-net-worth clients, partners, and prospects as needed.
- Support a premium, high-touch client experience in line with the Powder Haven brand.
Administrative Excellence
- Process expense reports, vendor invoices, and reimbursements.
- Order and maintain office supplies, tools, and resources for the Powder Haven team.
- Help onboard new team members or temporary support staff as needed.
- Identify and implement administrative improvements and efficiencies across operations.
Qualifications:
- 5 years of experience in executive-level administrative support; real estate, luxury sales, legal/paralegal, or hospitality experience preferred.
- Exceptional organizational, time-management, and multitasking skills.
- High level of discretion, professionalism, and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Google Workspace, Microsoft Office Suite, Docusign and CRM systems (HubSpot experience a plus).
- Comfortable in a fast-paced environment and able to pivot with evolving priorities.
