Position Purpose & Summary:The Office Assistant supports the home office and various departments, including office management, HR, payroll, IT, marketing, accounting, business development, and risk and quality assurance. This role ensures smooth day-to-day operations and provides administrative support across multiple functions.
Essential Duties & Responsibilities:Front Desk & Visitor Management1. Greet and monitor visitors, ensuring compliance with security protocols.2. Answer and direct incoming calls, managing the general voicemail inbox.3. Schedule and coordinate office meetings, including visitor appointments and new team member orientations.4. Order and arrange catering for visitors and large meetings.
Office Administration & Organization5. Purchase, track, and maintain office and kitchen supplies; ensure kitchen cleanliness.6. Oversee sorting and distribution of mail, deliveries, and packages.7. Set up, break down, and maintain conference rooms as needed.8. Organize and maintain office-related invoices, supply records, and supporting documents.9. Maintain and update organizational directories and preferred vendor lists.
Facilities & Vendor Coordination10. Work closely with building maintenance and cleaning services.11. Coordinate with vendors and contractors for office-related needs.12. Manage orders and deliveries for team member gifts (e.g., sympathy gifts, birthdays, anniversaries).
Travel & Event Coordination13. Arrange necessary travel accommodations and transportation for team members.14. Actively participate in the Wellness Committee to support company initiatives.
Compliance & Professionalism15. Maintain a professional and positive demeanor in all interactions with team members, guests, and center members.16. Participate in HIPAA and related compliance training.17. Uphold company values and demonstrate professionalism in all tasks.18. Perform additional duties as assigned.
Qualifications:• High School Diploma or GED required.• 1-2 years of experience in an office or fitness center environment with administrative responsibilities.• Strong organizational skills with the ability to manage multiple projects efficiently.• Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint) and strong writing skills.• Ability to follow directions and complete tasks within deadlines.• Excellent listening, communication, planning, and organizational skills.• A team player with flexibility in working hours to accommodate business needs and a commitment to supporting team efforts.
