Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our front desk and administrative functions. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently. Bilingual candidates are highly encouraged to apply as they will enhance our service to a diverse clientele.

Responsibilities

  • Greet visitors and clients warmly, providing them with a positive first impression of the organization.
  • Manage incoming calls using phone systems, directing calls to appropriate personnel while maintaining professional phone etiquette.
  • Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date in our systems.
  • Assist with office management duties, including scheduling appointments, maintaining calendars, and procurring/organizing office supplies.
  • Support administrative tasks such as filing, document preparation, and correspondence management.
  • Maintain a clean and organized front desk area to create a welcoming environment for guests.
  • Collaborate with team members to ensure seamless communication across departments.

Requirements

  • Proven experience as a receptionist or in an administrative role is preferred.
  • Familiarity with office management procedures and basic accounting principles is required.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Proficiency in data entry and experience with various office software applications.
  • Excellent verbal and written communication skills; bilingual abilities are a plus.
  • A professional appearance and demeanor that reflects the values of our organization.
