We are seeking a highly organized and detail-oriented Front Desk Data Entry & Administrative Support Specialist to support the Military & Family Readiness Center (M&FRC) at Minot Air Force Base, ND . The position provides data entry services for the Transition Assistance Program (TAP) and front desk customer service functions .

This role requires proficiency in Microsoft Office applications, excellent communication skills, and the ability to manage administrative tasks efficiently . The selected candidate will work closely with military personnel, government staff, and clients, ensuring smooth operations within the M&FRC.

  • This position is contingent upon contract award.

Key Responsibilities :

Data Entry & Administrative Support

  • Input, update, and maintain customer records using the Air Force Family Integrated Results and Statistical Tracking System (AFFIRST) and TAP ACCESS database .
  • Utilize multiple office automation tools (Microsoft Word, Excel, Access, and Outlook) for data entry, reports, forms, and correspondence .
  • Prepare and proofread various reports, memos, letters, and other documents for accuracy, grammar, and formatting .
  • Compile information from different sources to assist in generating routine reports and inquiries.
  • Maintain accurate office records, logs, and filing systems , ensuring compliance with Air Force regulations .
  • Front Desk & Customer Service

  • Serve as the first point of contact for visitors, answering calls and assisting clients in a professional and courteous manner.
  • Provide general information about M&FRC programs and services to military members and their families.
  • Schedule, confirm, and manage appointments and customer interactions using Microsoft Outlook.
  • Receive, review, and distribute incoming correspondence, ensuring timely responses and follow-ups.
  • Ensure customers complete necessary paperwork, including the Statement of Understanding (SOU) and other required forms.
  • Compliance & Record Management

  • Adhere to Air Force Instruction (AFI) 36-3009 , M&FRC program desk guides , and other relevant policies.
  • Serve as the primary Record Custodian , ensuring proper maintenance and disposal of records per Air Force Records Management policies .
  • Comply with privacy and data protection regulations , maintaining confidentiality of sensitive information.
  • Base & Security Requirements

  • Must obtain base access approval and complete necessary security training .
  • Follow base regulations regarding physical security, work area maintenance, and restricted access protocols .
  • Assist in controlling classified materials and documents , as required.
  • Education & Experience :

  • High School Diploma or equivalent required ; some college coursework preferred .
  • At least one year of experience in administrative, clerical, or data entry roles .
  • Technical Skills :

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Access) .
  • Strong ability to enter and manage data in database systems .
  • Experience handling reports, records management, and customer service inquiries .
  • Soft Skills :

  • Excellent verbal and written communication skills .
  • Strong organizational and time management skills .
  • Ability to work independently and maintain confidentiality .
  • Familiarity with military terminology (preferred but not required).
  • Other Requirements :

  • Ability to pass a background check for network and system access.
  • Must be able to work Monday - Friday, 7 : 30 AM - 4 : 30 PM (40 hours per week).
  • Dress Code : Business Casual (jeans are permitted if in good condition).
  • Must be available to replace absences of 30 days within 14 days .
