Job Description
Works under general supervision and provides front-line support and administrative support for the Office of the President.
Responsibilities:
Provide front-line support services
- Serve as the primary front-line support role for the Office of the President. Provides reception services in the President’s Office. Greet visitors to the President’s Office and answer the telephone number in a highly professional and responsive manner.
- Appropriately directs calls and/or correspondence to appropriate person or office.
- Identify alternative and appropriate persons to meet with callers who request a meeting with the President but with whom a meeting would be inappropriate or unnecessary –ensure they follow up as needed to ensure the situation has been handled appropriately and close the matter with the Office of the President.
- Follow the President’s Office processes for complaints and problems received directly from faculty, staff, students, and alumni as well as the general public, or calls referred by the Offices of the Governor, the Texas Higher Education Coordinating Board, State and governmental officials, and the Texas A&M University System.
- Prepares information detailing the complaints/problems received by the Office of the President for review by the Chief of Staff to the President and Sr. Executive Assistant, as necessary.
- Participates in the planning and execution of administrative operations.
Provide administrative support for Chief of Staff and Sr. Executive Director of Presidential Communications
- Supports administrative functions for Chief of Staff and Sr. Executive Director of Presidential Communications such as calendar management assistance (i.e., scheduling meetings, identifying meeting locations, assist in coordinating travel arrangements and other administrative functions).
- Reviews documents for Chief of Staff and/or Sr. Executive Director of Presidential Communication as needed or requested.
- Assist with preparing itineraries for special guests under the direction of the Chief of Staff. Coordinates meetings and may provide on-site support.
- Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives.
- Perform other duties as assigned.
Required Education and Experience:
- Bachelor's degree or equivalent combination of education and experience.
- 2 - 4 years of related experience providing high quality customer service in a fast-paced, public-facing organization.
Required Knowledge, Skills and Abilities:
- Knowledge of word processing, spreadsheet, database, and presentation applications.
- Ability to multitask and work cooperatively with others.
- Interpersonal and communication skills.
- Planning and organization skills.
- Proficiency in technology includes but is not exclusive to office software applications, videoconferencing software.
- Excellent interpersonal and verbal and written communication skills.
Special Requirements:
- Applicants with equivalent experience in lieu of a Bachelor’s degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor’s degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of six years of experience.
