Position Overview
The Program Database Administrator oversees the organization's program databases and ensures adherence to quality assurance standards. The role includes managing databases, creating reports, developing data visualization tools, supporting compliance with grant and contract requirements, and providing training and technical assistance. The position requires collaboration with leadership, staff, and community stakeholders to ensure data integrity, security, and compliance while advancing the organization’s mission.
Position Requires In-Person Staff to work a Hybrid schedule, based in San Francisco.
- Position does not Require Engineering framework.
- Position is not eligible for relocation.
Primary Duties and Responsibilities
Data Management and Quality Assurance
- Manage data lifecycle processes for program databases, including collection, storage, analysis, and reporting.
- Oversee database systems (e.g., Apricot, SQL Server, MS Access) and ensure data completeness and accuracy.
- Perform quality assurance checks on client and service data in program databases, ensuring data consistency and integrity.
- Develop custom reports, dashboards, and automation tools to enhance data accessibility.
- Ensure adherence to HIPAA and data security standards while maintaining confidentiality.
Training and Technical Assistance
- Provide training to staff on internal program database systems, data entry procedures, and reporting tools.
- Respond to staff inquiries regarding data systems and resolve technical issues.
- Monitor compliance with data requirements, deliver feedback and technical support as needed.
Reporting and Visualization
- Design reports, dashboards and visual tools to communicate data insights to stakeholders effectively.
- Collaborate with leadership to produce reports for grant proposals, funders, and internal monitoring.
Analytics and Strategic Support
- Assist with the analysis of data trends to inform organizational strategy and performance improvements.
- Support new grant and contract awards by integrating any new data and outcomes into appropriate program databases.
- Represent the organization in collaborative networks and community activities, as needed.
Leadership and Collaboration
- Foster a positive and inclusive work culture, emphasizing equity, social justice, and trauma-informed care.
- Participate, along with the rest of the QA team as a liaison between departments to ensure alignment on data-related goals and strategies.
- Advocate for continuous improvement and innovation in data management practices.
Minimum Qualifications
· Bachelor’s degree in computer science, statistics, or a related field (or equivalent experience). · Minimum of 3 years in database management or closely related field.
- Extensive experience with data reporting and report development. Familiarity with grant reporting and compliance monitoring desired;
- Proficiency with Microsoft Office applications (Word, Excel, PowerPoint) and database systems (e.g., Social Solutions Apricot, Raiser’s Edge, SQL Server, MS Access).
- Strong analytical and data visualization skills, with experience using tools such as Tableau or Power BI.
- Excellent communication and interpersonal abilities, including training and presentation skills.
- Strong organizational and time management skills, with attention to detail.
- Ability to work independently and collaboratively in diverse team settings.
- Experience working with LGBTQ communities and a commitment to social justice and equity.
