- Manage and maintain executive calendars, scheduling appointments and coordinating meetings.
- Handle incoming calls and emails, directing inquiries to the appropriate personnel.
- Assist with clerical tasks such as filing, data entry, and document preparation.
- Utilize Google Suite for creating documents, spreadsheets, and presentations.
- Support office management functions by maintaining supplies and equipment.
- Process financial transactions using QuickBooks as needed.
- Serve as a personal assistant to executives, providing administrative support as required.
- Ensure the office environment is organized and conducive to productivity.
Requirements
- Proven experience as an Administrative Assistant or in a similar role.
- Proficiency in Google Suite applications (Docs, Sheets, Calendar).
- Familiarity with QuickBooks is preferred but not mandatory.
- Strong time management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Experience with phone systems and handling multi-line phones.
- Background in medical receptionist duties or office management is a plus.
- Ability to work independently while also being a collaborative team member.
