Job Summary:
We are seeking a highly motivated and organized Entry-Level HR & Office Administrator to join our team. This role will be responsible for supporting both the Human Resources and Office Administration functions, contributing to the smooth operation of the office and assisting with HR-related tasks. The ideal candidate will have a passion for HR and organizational processes, excellent communication skills, and the ability to multitask in a fast-paced environment.
Human Resources Support:
- Assist with recruitment processes, including job postings, resume screening, and coordinating interviews.
- Help manage employee onboarding processes, including preparing documentation and conducting orientation sessions.
- Responsible for running pre-employment background and MVR screenings and setting up pre-employment drug testing
- Follow and maintain all FMCSA compliance including administering the required random drug testing and verifying medical card compliance
- Maintain employee records and HR databases, ensuring accuracy and confidentiality.
- Assist in the administration of employee benefits, including coordinating enrollment and answering basic questions.
- Help with performance management processes and tracking employee progress.
- Assist with the development and implementation of HR policies and procedures.
- Partner with the corporate HR team regarding employee inquiries related to HR matters, such as benefits, leave, and workplace policies.
Office Administration Support:
- Greet visitors and employees in a friendly and professional manner, providing assistance as needed.
- Manage office supplies and equipment, ensuring adequate stock and timely reordering.
- Coordinate office maintenance and manage relationships with vendors.
- Assist with scheduling meetings, travel arrangements, and calendar management for senior staff.
- Organize and maintain office files and records in both physical and digital formats.
- Provide general administrative support, including answering phones, managing correspondence, and preparing reports and presentations.
- Coordinate office events and activities, including team-building exercises and employee celebrations.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
- Previous experience in HR or office administration (internships, part-time roles, or volunteer work) is a plus but not required.
- Knowledge of HR software and systems is a plus.
- Excellent organizational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information.
- A positive, can-do attitude with a willingness to learn.
