Accounts Administrator -
- Responsible for AR/AP functions
- Accurately files and scans accounting documents
- Performs data entry and filing tasks for accounts payable, accounts receivables, purchase orders, equipment inventory, and confidential departmental files
- 3-way PO matching and non-PO invoice processing
- Customer Invoicing – create and email invoices to customers
- Maintain accurate historical records for both
- Knowledge of the General Accepted Accounting Principles (GAAP) to include general journal entries, accounts payable and accounts receivable
- Work closely with office and field operations to track change orders, purchase orders, revisions, and job closures
- Set up and maintain project scheduling documentation files and records – on schedule and into SP folders
- Update and maintain internal databases and tracking systems
- Capture all time and materials for each job – Reasons for Change Orders
- Work with office to close out jobs within 5 days of completion
- Continuously follow up on PO and invoicing status
- Send follow-up emails to proper parties involved in work activities
- Initiate outgoing calls and emails to distribute information and set scheduling dates as needed
- Attend and participate in internal and client meetings as needed
- Maintain and build relationships with current employees, client and vendors
- Compile, edit and send in all reports at the completion of job through working with QA/QC
- Fulfill on-call duties, including after-hours and weekends in rotation
- Give and accept instructions/delegations in a high-pressure setting
- Assists other departments as needed with tasks, such as:
- Rent equipment, off rent equipment
- Book rooms, flights, cars etc
- Work with staffing agencies to fill open positions requested by field supervision
- Work with QHSE to:
- Ensure capture of proper credentialing and training certifications for field service technicians
- Schedule Precision and Client requirements for assigned manpower including but not limited to background checks, drug screening, safety council, respiratory assessment, and physicals
- Willingness to perform additional duties as required by different supervisory levels
