Job Summary:

Office Assistant/Clerical Support staff persons are responsible for clerical duties as defined by the Office Manager or Regional Director in the region in which they work.Job Description

Essential Job Functions:

  • Types, files and copies documents and forms.
  • Performs data entry and completes assigned paperwork.
  • Assists the Office Manager or Regional Director as requested.
  • File needed documents as requested.
  • May serve as Receptionist based on local needs of office which would include the following additional duties:
  • Ensure visitor and/or staff sign in records are maintained.
  • Answer multi-line phone system, appropriately directing calls.
  • Ensure office entryway is not congested with personnel or individuals served..
  • Receives office visitors in a welcoming manner.
  • Other duties as assigned.

Knowledge, Skills, and Abilities:

  • This person should be friendly, helpful and respectful to all who call or come into PFH facilities.
  • Must have a reliable means of communication;
  • Must possess skills to write clearly and legibly;
  • Ability to read and comprehend simple instructions, short correspondence and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations.
  • Knowledge of database software; spreadsheet software and word processing software.
  • Ability to deal with a variety of personalities.
  • Ability to take responsibility and work independently.
  • Good time management and organizational skills and ability to prioritize.
  • Ability to operate various office machines.
  • Awareness of need for confidentiality, professional ethics and code of conduct.
  • Maintains positive attitude in the work environment.
  • Ability to multitask and remain highly organized, developing effective organizational systems as needed.
  • Ability to work with information in a confidential manner.

Experience and Education Qualifications:

  • High School Diploma or equivalent required.
  • Associates Degree from an accredited college or university preferred.
  • One year of clerical experience in related field preferred.

Supervisory Requirements:

None

Employment Requirements:

  • Successful completion of background check including criminal record, driving record and abuse/neglect.
  • Completion of New Hire Orientation at the beginning of employment.
  • All training requirements including Relias Learning at the beginning of employment and annually thereafter.
  • Must have and maintain certification in CPR, First Aid if required by Regional Director.
  • Must complete all training requirements for certification and for organization.
  • Must have appropriate, reliable transportation, proof of insurance, and a valid driver’s license.

While performing the duties of this job, the associate is regularly required to sit and talk or hear. The associate frequently is required to use hands to finger, handle, or feel and reach with hands and arms. The associate is occasionally required to stand and walk. The associate may occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.
