Job Summary: The Office Administrator will be responsible for overseeing administrative tasks, submitting progress billings, helping managing the submittal process, and ensuring efficient office operations in alignment with government contract requirements. The ideal candidate will have a strong background in the construction industry and experience working with government contracts.
Key Responsibilities:
- Manage daily office operations to ensure efficiency and compliance with company and government subcontracting standards.
- Oversee the submittal process for construction projects, preparing, submitting, and tracking project documentation.
- AHA’s, Creating SOV’s, Material Submittals with product data & safety sheets, fall prevention plans, certified payrolls.
- Communicate with general contractors, subcontractors, and internal teams regarding government contract compliance and requirements.
- Attend weekly meetings with the GC’s to ensure we maintain compliance and stay on schedule with deliverables.
- Maintain accurate records, databases, and project files to ensure compliance with government subcontracting guidelines.
- Assist in preparing bids, reports, and presentations for government contracts and construction projects.
- Serve as the point of contact for audits, ensuring all office operations meet compliance standards for government contracts.
- Handle procurement, vendor management, and subcontractor relationships in alignment with government and industry guidelines.
- Manage travel arrangements, expense reports, and track budgets for government subcontracting projects.
Qualifications:
- Proven experience as an Office Administrator, with a background in the construction industry and experience working on government contracts.
- Strong understanding of the submittal process for construction projects.
- Knowledge of government contract compliance and administrative procedures.
- Excellent communication, organizational, and multitasking skills.
- Proficiency in office management tools (e.g., MS Office, project management software).
- Ability to work independently and maintain confidentiality of sensitive information.
Preferred Qualifications:
- Experience in bid preparation and managing contract-related documentation.
- Familiarity with project management and document control systems.
