About the Role
We’re looking for a Controller to help build and lead the financial operations of this newly created multi-family office. This role is ideal for a seasoned CPA with experience in family offices, private wealth management, or investment firms who thrives in a hands-on, entrepreneurial setting.
This full-time, on-site position is based in Century City, CA.
Responsibilities
- Manage and prepare monthly, quarterly, and annual financial reporting for Family Office-owned entities and related assets, including cash flow projections, net worth statements, Family Office financial statements, annual budgets, monthly bank reconciliations, quarterly covenant tests (if any), and monitoring compliance.
- Oversee accounting systems, processes, and procedures to ensure efficient operation of the Family Office financial function, ensure that accounting records are consistent and accurate, and oversee appropriate controls, checks, and balances.
- Maintain up-to-date and accurate records for all financial transactions, including inflows, outflows, budgets, investments, receivables, payables, collectible assets, vendor contracts, insurance, and charitable donations and commitments.
- Prepare subscription documents for all investments, monitor outstanding commitments, make capital call payments, respond to inquiries or actions required or requested by outside investment consultants and managers, and prepare reports on investment performance.
- Liaise with accountants to minimize tax liabilities either through effective tax structures and/or starting entities to utilize for investing with minimal tax consequences.
- Assume responsibility for the timely and accurate collection of K1 forms and other tax-related documents from investments and partnerships.
- Oversee the accounting and financial management of private aircraft owned by the Family Office. This includes managing budgets, operational costs, maintenance expenses, and compliance with aviation financial regulations. Implement and maintain detailed record-keeping systems to track aircraft usage, costs, and depreciation, ensuring optimal financial management of this asset class.
- Administer payroll for Family Office staff and household employees, ensuring accurate and timely wages, bonuses, and benefits processing. Stay updated on labor laws and tax regulations affecting payroll, implementing best practices for payroll processing and confidentiality. Address payroll-related inquiries from employees, providing excellent service and support.
- Manage the implementation, utilization, and maintenance of investment management software such as Addepar to track and analyze the Family Office’s investment portfolio. Ensure data accuracy and integrity within the system, facilitating real-time access to investment performance, allocation, and risk assessments. Train staff on the software’s features and functionalities, optimizing its use for strategic investment planning and reporting.
- Work closely with the Family Office and external third-party service providers to provide quarterly updates to Family Office Principals and more frequent reporting as necessary.
- Monitor fees on invested assets, funded and unfunded commitments, and assist in the preparation of annual budgets, liquidity management, and account reconciliations
- Review and reconcile investments, equity interests, and intercompany transactions on a monthly/quarterly basis.
- Managing preparation, execution, and recordkeeping for wire transfers for all Family Office entities including working capital and other transactions.
- Monitor existing internal controls and work with outside accounting firms to conduct periodic risk assessments
- Drive overall risk management and insurance functions, and take initiative for continued improvements in controls and processes.
- Demonstrate the ability to prioritize and manage multiple assignments and projects to meet deadlines efficiently and accurately.
Qualifications:
- At least 8-10 years of experience with strong financial, management, accounting, and financial reporting skills for privately held, US-based entities.
- Bachelors and/or Master's degree in accounting, CPA required; CFP designation or MBA a plus.
- Experience from the Big 4, large public accounting firms, or investment companies is required, as is a working knowledge of GAAP and basic tax accounting.
- Prior experience working with a family office (either single or multi-family office) or with an entrepreneurial, high-net-worth family business owner.
- Knowledgeable about investments, particularly hedge funds and private equity
- Ability to work with multiple entities and intercompany transactions.
- High level of discretion and ability to maintain Family confidence and privacy.
- Positive, open attitude with flexibility to work on different projects under different timelines.
- Proficient in QuickBooks and Microsoft Office products (required).
- A “no job too small” attitude; an energetic, efficient, resourceful team player and self-starting individual contributor.
- Ability to work independently without day-to-day oversight.
- Strong attention to detail and organization skills, coupled with high integrity and a proven history of performing high-quality work.
Salary: Base salary of up to $200,000 bonus
