Job Position: Ottawa Oh
Premier Gold Silver and Coin is a growing company. We are in need of a Scheduler/Office Assistant in Ottawa, OH. This position is on-site and will be responsible for booking/scheduling Roadshows for the company in your assigned territories, including marketing.
You would be booking 10-14 events per week that will need to be booked.
Job Duties
- Calling/emailing various local government agencies to acquire permits and licensing as needed for our roadshow events
- Calling/emailing hotels to book conference rooms for events as well as sleeping rooms based on the Buyers' needs.
- Booking various types of advertising for each show you book.
- Stay 2 months ahead on booking shows.
- Entering all information as you book shows into the Master Schedule.
- Create the artwork for various types of print that will be sent for advertising.
- Be able to communicate with multiple departments to make sure everything is done for each show
- Ability to communicate well with buyers for their needs, questions, concerns, and ideas.
- Stay organized.
- Ordering and gathering supplies requested by the buyers.
- Verify and follow up with hotels so there are no issues at check in.
- Verify and follow up on permits.
- Answer questions from customers via phone and email.
- Keep files clean and up to date.
- Make changes as they come and keep everything organized and up to date in the systems.
Qualifications
- Being a motivated self-starter.
- Must have organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to negotiate contracts.
- Proficient with computers.
- The ability to multitask efficiently.
- Creative thinking and problem-solving.
- Advanced written and oral communication skills.
- Proficient in Google Sheets and using formulas.
- Capable of designing and creating various print ads.
- Attentional to detail is CRITICAL.
- Must pass a background check.
The perfect candidate would have knowledge of Google Drive and Sheets and the ability to enter formulas where needed. You must have the ability to stay calm as things change quickly without warning. Prior event planning would be great but not required.
Job Type: Full-time
Pay: $15.00 - $17.00 per hour
Expected hours: 40 per week
